Why a range? Picking your table and chair styles below narrows it. The rest of the spread comes from the other categories — the low end assumes a practical setup, the high end a more formal one.

Real prices depend on your dates and what's available.
See rentalsDelivery and setup. Not included above. Budget roughly $150 to $200 for delivery in most metro areas, and more if the site sits well outside the metro or the load-in needs extra labor — walk-ups, freight elevators and after-hours windows all add time.

How much does it cost to rent tables in Frederick?
Settle the table count first. The linens follow the tables, the place settings follow the linens, and the floor plan follows all three.
A 60-inch round seats 8 with formal place settings, or 10 at a casual buffet. Place settings are the reason for the gap: a formal one takes 3 glasses per guest against 2 for a casual one, and the glasses take the room. Run that against 120 guests and a seated dinner needs 15 rounds where a buffet needs 12. Our guide to table sizes and seating works through the other shapes.
6-foot rectangles seat 6 to 8 and line up end to end, which is how a long farm-table look gets built. For cocktail tables the ratio follows the format: at a standing reception, 1 for every 4 or 5 guests; once there is a seated meal, 1 per 10.
Specialty and picnic tables cover table shapes beyond round and rectangular: farm and harvest tables, serpentine sections that curve into an arc, sweetheart tables for two, and barrel tables. Check the pricing table below to see which ones are available before you plan a layout around one.
One Frederick question decides the count before any of this. A downtown room usually arrives with tables already in it. A county property usually does not. Ask which you are dealing with before you order a single thing.
Frederick table prices:
Tables
| Item | Typical day rate |
|---|---|
| Specialty & Picnic Tables | ~$49 |
| Round Tables | ~$12 |
| Cocktail Tables | ~$10 |
| Rectangular Tables | ~$9 |

How much does it cost to rent chairs in Frederick?
You need 1 chair per guest, plus a handful of spares for the head table and the people working the event. That part is easy. The style takes the thinking.
- Folding chairs. Folding chairs usually fall into two groups: plain plastic or resin folding (AKA garden chairs). Plastic chairs do not usually come with padding, so they’re best for short ceremonies or casual events. Resin folding chairs usually come with padding or can have seating pads added onto the order, so they’re a nice upgrade if your guests will be sitting longer.
- Chiavari and luxury chairs. These are a more formal choice than folding chairs, and they typically come in gold, silver, white, black or wood. Because they look more finished, you can leave covers and sashes off the order. Chiavari chairs are padded, which is much more comfortable if your guests will be sitting all evening.
- Barstools. Barstools stand at cocktail-table height, so your guests can sit down without leaving the conversation. A few is enough for a standing reception.
The kind of chair you should choose depends on how long your guests will be sitting. If they’ll be sitting for more than 30 minutes or so, we recommend choosing something with padding, like a resin folding chair or a garden chair. If the event is more casual and guests are expected to be up and down, then a folding chair without padding is probably fine. And keep in mind for more formal events, it can be well worth it to rent chiavari chairs to quickly upgrade the look of the room.
Chair pricing for Frederick:
Chairs
| Item | Typical day rate |
|---|---|
| Barstools | ~$11 |
| Luxury & Chiavari Chairs | ~$8 |
| Folding Chairs | ~$3 |
How much does it cost to rent linens in Frederick?
Linens are ordered 1 per table, plus a napkin per guest for a seated meal. After that it is a matter of naming the pairing you want, and our guide to what size tablecloth you need has the full set.
The ones you will reach for most: a 120-inch cloth takes a 60-inch round to the floor, a 108 stops at lap height, and a 6-foot banquet table takes a 90 by 132 rectangular linen for floor length.
Two counts get missed. Cocktail tables need cloths of their own, and a 30-inch highboy and a 30-inch short table take different lengths despite matching tops, so tell the vendor the height as well as the diameter. Napkins are ordered by the piece, which ties them to your guest list while the cloths stay tied to your tables.
Chair covers are worth knowing about on a county property, where the seating has often been gathered from more than one source and a single colour pulls it together.
It all goes back dirty, too. Nothing to launder, fold or press on the Sunday after a Saturday wedding.
Linen rates for Frederick:
Linens
| Item | Typical day rate |
|---|---|
| Round Linens | ~$15 |
| Rectangular Linens | ~$10 |
| Chair Covers & Accessories | ~$4 |
| Napkins | ~$0.85 |
How much does it cost to rent bar and glassware in Frederick?
Start by finding out what is already behind the bar, in writing. A restored downtown room may hand you one; a farm or a field almost certainly will not, and that single answer decides whether a bar is on your order or only the glassware that sits on it.
The drink math is straightforward: 1 drink per guest per hour, so a 4-hour reception for 120 guests comes to around 480 drinks. Glassware is the count that gets missed. Order roughly 1 glass per drink instead of working from the guest count alone, because someone who has wine with dinner and a cocktail afterwards has used 2, and neither has gone back to the kitchen.
Toasts are counted their own way: 1 bottle per 8 guests gives everyone a half glass. A venue that washes on site can bring the glass count down about 25 percent, which is worth asking a winery or a restored barn with a real kitchen. Specialty glasses earn their place on a signature drink.
Water service belongs in this count too, and in a Frederick July it is not optional. Barstools pair with the bar and are priced with the chairs. On the pouring itself, venues generally require a certified bartender and do not allow guests to pour for themselves.
What the bar side costs here:
Bar and glassware
| Item | Typical day rate |
|---|---|
| Bars | ~$195 |
| Wine & Champagne Glasses | ~$2 |
| Specialty Glasses | ~$2 |

How much does it cost to rent lounge furniture in Frederick?
Lounge furniture is priced by the grouping, and roughly 1 grouping per 100 guests is the working figure. Each one is a sofa or a pair of settees, 2 or 3 chairs or ottomans around it, and something low in the middle to put a glass on.
It earns its place twice in Frederick. At a standing reception with no seated dinner it gives people somewhere to land. In a barn with a lot of open floor it does something a barn cannot do for itself, which is break a large volume into rooms.
Placement matters as much as the count. Keep groupings to the edges and near the bar, away from the speakers, with a clear route between them.
Lounge rates for Frederick sit below.
Furniture
| Item | Typical day rate |
|---|---|
| Lounge Furniture | ~$850 |
| Sofas & Settees | ~$200 |
| Chairs & Ottomans | ~$95 |
| Coffee Tables & Side Tables | ~$55 |
How much does it cost to rent decor in Frederick?
How much decor you need comes down to how finished the room already is. A historic downtown room arrives with its own character, so table decor may be the whole order. A barn or an open field gives you more to shape and takes more to fill.
Pipe and drape earns its keep in a barn, where it can close off square footage you are not using and give the head table or the cake a backdrop that the building does not supply. No standard sizing rule exists for it. Measure the run and hand the vendor that number.
Table decor is counted by the table, and it is the last thing to settle because the linens come first.
And the decor rates:
Decor
| Item | Typical day rate |
|---|---|
| Pipe & Drape | ~$1,175 |
| Table Decor | ~$4 |

What Else You Need to Know About Planning an Event in Frederick
Downtown Rooms and County Barns Are Two Different Orders
Downtown Frederick puts historic buildings along Market Street and Carroll Creek to new use, and those rooms usually come with tables and chairs already in them. That leaves you linens, glassware and decor, which is a short order.
The county is the opposite. Farms, restored barns, hilltop estates and wineries out toward Thurmont and Mount Airy sit on properties running to a couple of hundred acres, and that scale is exactly why there is nothing to inherit. The room gets built from nothing, and a tent usually joins the list. Frederick has tents available, so that is a conversation with a supplier and nothing more.
Ask every venue for a written list of what is included before you price anything.
What You Can and Cannot Stake Into the Ground
At Carroll Creek Park, nothing may be staked into the raised beds or the grassy areas. No stakes, no signage, no tent poles.
That means a weighted tent instead of a staked one, and it belongs in the conversation with your tent vendor when you book. In county parks a tent is anchored in a designated grass area and goes up and comes down the same day, and a larger tent also needs a certificate of insurance.
Tell your supplier which site you are on and let them bring the right anchoring with them.
Where a Delivery Truck Can Stop Downtown
No vehicle may block or stop in a through-traffic lane on Market, Carroll, All Saints or East Streets, including for loading and unloading.
In practice that makes the delivery window and the access point something you confirm with the venue before the order goes in. A vendor who delivers downtown every week already knows the answer; your job is to ask the question early enough that it is on the paperwork.
September Brings the Best Weather and the Fullest Calendar
The Great Frederick Fair takes over the fairgrounds for 9 days each September and is the county’s largest annual event. In The Streets fills downtown the same month. Early September is also the best weather Frederick gets all year.
That collision is the useful part. The nicest stretch of the calendar is also the fullest one, so if your date can move, knowing which weekends are already spoken for is worth more than any other piece of timing information on this page. Wedding season keeps the county barns and wineries busy from late spring through fall as well.
Planning Around a Frederick Summer
A Frederick July runs to an average high around 86°F with humidity near 74 percent, which puts the heat index well above the thermometer. July is also the wettest stretch of the year, with rain on roughly half the days.
For an outdoor event between June and September that means shade, airflow and the water service already counted in the bar section, plus a covered backup you can actually move into. A tent with sides you can lift is doing two jobs at once there.
Permits and Regulations in Frederick
The rules most likely to touch your rental order are the staking restriction at Carroll Creek and the downtown loading rules, both covered above. Beyond those, what a Frederick event needs varies with whether you are inside the city or out in the county, because they are two separate permitting systems. Our Frederick permit guide goes through the offices and what each one wants.
Venues in Frederick
Frederick venues fall into two patterns, and the pattern tells you most of what you will be renting. Downtown historic rooms suit a seated dinner, a shower or a milestone birthday where the building does the decorating. County farms, barns, estates and wineries suit a bigger guest list and an event that wants room to spread out, and they leave the room for you to build.
Get that inclusion list in writing and order against whatever is missing from it. Our guide to event venues in Frederick goes through the types in more detail.
