The count is 1 per guest and a few spares for the head table and the crew. The style is the decision.
- Folding chairs. Folding chairs usually fall into two groups: plain plastic or resin folding (AKA garden chairs). Plastic chairs do not usually come with padding, so they’re best for short ceremonies or casual events. Resin folding chairs usually come with padding or can have seating pads added onto the order, so they’re a nice upgrade if your guests will be sitting longer.
- Chiavari and luxury chairs. These are a more formal choice than folding chairs, and they typically come in gold, silver, white, black or wood. Because they look more finished, you can leave covers and sashes off the order. Chiavari chairs are padded, which is much more comfortable if your guests will be sitting all evening.
- Benches and other seating. Benches run alongside long tables and keep the room informal. Nobody has an assigned seat, so your guests sit where they land and slide down to make room. We recommend benches for a family-style dinner, a rehearsal dinner or a backyard party, and chairs when your guests are seated for hours or the event is a formal one.
The kind of chair you should choose depends on how long your guests will be sitting. If they’ll be sitting for more than 30 minutes or so, we recommend choosing something with padding, like a resin folding chair or a garden chair. If the event is more casual and guests are expected to be up and down, then a folding chair without padding is probably fine. Order 1 cloth per table, plus a napkin per guest for a seated meal.
Sizing repays attention. A 120-inch cloth takes a 60-inch round to the floor, while a 108 stops at lap height and leaves the legs showing. A 6-foot banquet table wants a 90 by 132 for floor length. A 60-inch square floors at 108 and sits at lap height with a 90, which matters here because square tables and square linens are both priced up north.
Cocktail tables take cloths of their own, and the height counts as much as the diameter. A highboy and a low table with matching tops need different drops, so give the vendor both figures.
Napkins price by the piece and track the guest list; cloths track the tables. Chair covers bring a mixed set of seating into one colour, which is a common need at a venue that has accumulated its chairs over years.

Plan 1 drink per guest per hour, so a 4-hour reception for 120 guests lands around 480 drinks. Glassware is the count that slips: order roughly 1 glass per drink, because a guest who has wine at dinner and a cocktail later has used 2 and set both down somewhere.

The Season Decides Whether a Vendor Is Open at All
In most places the season drives competition for dates. Up here it drives whether anyone is open.
Many rental companies in this region run May through October. The comfortable outdoor window is June through September, which is about four months, and from December through March an outdoor event is simply not on the table.
What that means in practice: for an October or May date, confirm a vendor is still operating before you settle anything else. A shoulder-season date narrows the supplier field more than it narrows the calendar.
If your date can move, choose September. Harvest and farm-to-table season, colour coming in around the peninsulas, and far better availability than July or August. October cools fast, so a late-season outdoor date means planning heat into the order instead of leaving it to the week of. Tents are available here and suit a shoulder-season lawn event well.
Cherry Festival Week and the Weekends That Fill First
The National Cherry Festival takes over Traverse City in the week of July 4th and draws more than 500,000 people across the region. If your event falls in that week, get permits and vendors locked 12 months or more ahead, and check the current year’s exact dates before you assume anything.
Memorial Day and Labor Day weekends are both major event weekends across the region, and June through August is peak tourist season throughout.
If your event has no connection to the festival, a non-festival weekend makes it easier to secure both venues and vendors.
