How much does it cost to rent tables in Oklahoma City?

Your table order starts with the meal. Plated dinners, buffets and standing receptions each want a different shape.

A 60-inch round seats 8 with formal place settings, or 10 at a casual buffet, so a guest list of 180 comes to 18 to 23 rounds, depending on how you plan to set the tables. If you plan to do a formal setting, go ahead and order on the higher side to be safe and ensure your guests have plenty of elbow room.

If you like the look of rectangular tables better, a 6-foot seats 6 to 8 and an 8-foot rectangle seats 8 to 10. Pushed end to end, rectangular tables make long rows that are fantastic for a family-style service.

If your guests will be standing for the duration of your event, plan on 1 cocktail table for every 4 or 5 guests.

How much does it cost to rent chairs in Oklahoma City?

Chairs work out to 1 chair per guest, and a handful of spares is worth having for the head table or any other emergencies.

You’ll be choosing between 3 styles here:

  • Folding chairs. Folding chairs usually fall into two groups: plain plastic or resin folding (AKA garden chairs). Plastic chairs do not usually come with padding, so they’re best for short ceremonies or casual events. Resin folding chairs usually come with padding or can have seating pads added onto the order, so they’re a nice upgrade if your guests will be sitting longer.
  • Chiavari and luxury chairs. These are a more formal choice than folding chairs, and they typically come in gold, silver, white, black or wood. Because they look more finished, you can leave covers and sashes off the order. Chiavari chairs are padded, which is much more comfortable if your guests will be sitting all evening.
  • Barstools. Barstools stand at cocktail-table height, so your guests can sit down without leaving the conversation. A few is enough for a standing reception.

The kind of chair you should choose depends on how long your guests will be sitting. If they’ll be sitting for more than 30 minutes or so, we recommend choosing something with padding, like a resin folding chair or a garden chair. If the event is more casual and guests are expected to be up and down, then a folding chair without padding is probably fine.

And keep in mind for more formal events, it can be well worth it to rent chiavari chairs to quickly upgrade the look of the room.

How much does it cost to rent decor in Oklahoma City?

The exhibit halls at State Fair Park are built for the State Fair and for trade shows, so a room there can hold several times the party you’re planning. If your headcount leaves most of the floor empty, we recommend pipe and drape to bring the walls in around your party.

Hang a run across the floor you aren’t using, or set one behind a head table to give photographs a clean background. No formula turns a room’s dimensions into a drape order, so measure the wall you want to cover and give your vendor that footage.

Stanchions handle foot traffic. Set a pair where guests come in, so nobody has to work out which of 4 doors is yours. Use the rest to keep the route to the bar clear of the food.

Round linens go 1 per table, plus a napkin per guest for a seated meal. On a 60-inch round, a 120 goes all the way to the floor, which looks dressier if you’re hosting a wedding reception or an evening gala. A 108 stops at lap height, an easier look for a lunch or a daytime shower.

Each size of cloth belongs to one table and one drop, and no arithmetic gets you from a table’s diameter to the right cloth. Send your vendor your table list and let the sizes come back from that. Washing and pressing stay on the vendor’s side, so the cloths turn up pressed and ready, and your Sunday stays free of a laundry pile.

Sofas and settees anchor a lounge grouping, and you can plan on roughly 1 grouping per 100 guests, so a party of 180 takes about 2. Downtown Oklahoma City runs a busy corporate calendar off its energy companies, with Devon Energy, OGE Energy and Continental Resources all headquartered there. A reception on that calendar often has no seated dinner in it anywhere. If you’re hosting one of those, your groupings are the seating for the evening, so hold to the 1-per-100 figure.

Most rentals here are priced per item, per day. The size of your event moves the final figure most, and after that it is whatever you add on top of the seating, since a tent or a dance floor can outweigh everything on this page.

What Else You Need to Know About Planning an Event in Oklahoma City

OKC Sits in the Center of Tornado Alley

The primary risk window runs March through June, peaking in April and May, with a smaller secondary window in mid-September through late October. This metro has taken direct hits from violent tornadoes more than once, including devastating events in 1999 and 2013, and tornadoes have been recorded here in every month of the year on record.

No tent or rental structure is rated to withstand a tornado, so the honest advice for any event in this window mirrors what you’d tell a Gulf Coast host during hurricane season: have a shelter plan or a firm reschedule date. Local planners treat this as standard practice, and any vendor who regularly works OKC events should already expect the question.

Winter brings its own risk too, and it’s ice, not snow accumulation, that causes the real damage. A 2007 ice storm here left more than 125,000 people without power, a useful reminder that a mild-looking winter forecast doesn’t rule out a serious disruption.

Festival of the Arts: 60 Years at Bicentennial Park

Every late April, Bicentennial Park hosts the Festival of the Arts, a decades-long-running institution that brings 140-plus artists, international cuisine, and four days of family activities to downtown. If you want a downtown venue that week, expect real competition for it, and know that this same window overlaps with peak tornado season, so a contingency plan is worth having regardless of the festival’s own draw.

Thunder Season and Downtown’s Civic Identity

OKC Thunder’s championship run has reshaped downtown’s civic energy in a very current way, and it shows up directly in event demand. Game nights, and especially playoff runs, spike watch-party demand at bars and restaurants and pull real foot traffic downtown, to the point that some downtown bars have rebranded around the team during deep playoff runs.

Because the NBA season runs October through June, and longer with playoff runs, this isn’t a single-season demand pattern. It’s close to a year-round consideration, worth checking against your date the same way you’d check a college town’s football schedule.

How Far Ahead to Book Around OKC’s Calendar

Outside OKC’s peak windows, a typical lead time works fine. Inside them, plan further ahead, and don’t skip the contingency planning even when a window is otherwise ideal.

April and May bring spring events despite the tornado risk. Local planners build a contingency into these dates as standard practice, and you should too. September and October bring the State Fair and Regatta Festival, plus the most reliable outdoor stretch of the year, which makes it the closest thing OKC has to a worry-free booking window. NBA playoff runs add their own spikes on top of the regular season’s steady demand; December brings holiday parties, and May also brings graduation season for OU, UCO, and OSU-OKC, adding family-event demand to what’s already a busy month.

Permits and Regulations in Oklahoma City

Permits in Oklahoma City follow the site, so the first question is whose ground you’re standing on. A private venue can tell you what it already holds and what’s left for you to arrange, and that’s usually a short conversation.

On public ground, the people who manage that specific site are the ones who can say which approvals apply and how long they take. Their timeline ends up setting yours, so ask while your plans can still move. Serving alcohol adds a state license on top of anything the site itself requires. Scissortail Park‘s Great Lawn can hold up to 15,000 people, making it a real option if your event needs serious scale. Myriad Botanical Gardens rounds things out with a more intimate, green setting downtown.

If water is part of what you’re looking for, the RIVERSPORT Boathouse District on the Oklahoma River adds a distinct option, and it hosts its own Oklahoma Regatta Festival every early October, worth checking against your date if you want that specific stretch of riverfront.
