How much does it cost to rent tables in Fresno-Armona?

A 60-inch round seats 8 with formal place settings, or 10 at a casual buffet. What separates those 2 figures is elbow room: a formal setting puts 3 glasses in front of every guest, water and wine and champagne, and each one needs space of its own.

Long rows are one other way to set a room, and they suit the farm and ranch properties out in Kings County and the wineries toward Madera and Sanger.

If your guests will be standing throughout the entire event, order 1 cocktail table for every 4 or 5 guests. Leave 30 to 36 inches between them either way, so people can move.

How much does it cost to rent chairs in Fresno-Armona?

Order 1 chair per guest, then round up a little so the head table and any last-minute yeses are taken care of.

Here’s what you’ll be choosing between:

  • Folding chairs. Folding chairs usually fall into two groups: plain plastic or resin folding (AKA garden chairs). Plastic chairs do not usually come with padding, so they’re best for short ceremonies or casual events. Resin folding chairs usually come with padding or can have seating pads added onto the order, so they’re a nice upgrade if your guests will be sitting longer.
  • Chiavari and luxury chairs. These are a more formal choice than folding chairs, and they typically come in gold, silver, white, black or wood. Because they look more finished, you can leave covers and sashes off the order. Chiavari chairs are padded, which is much more comfortable if your guests will be sitting all evening.
  • Barstools. Barstools stand at cocktail-table height, so your guests can sit down without leaving the conversation. A few is enough for a standing reception.
  • Benches and other seating. Benches run alongside long tables and keep the room informal. Nobody has an assigned seat, so your guests sit where they land and slide down to make room. We recommend benches for a family-style dinner, a rehearsal dinner or a backyard party, and chairs when your guests are seated for hours or the event is a formal one.

The kind of chair you should choose depends on how long your guests will be sitting. If they’ll be sitting for more than 30 minutes or so, we recommend choosing something with padding, like a resin folding chair or a garden chair. If the event is more casual and guests are expected to be up and down, then a folding chair without padding is probably fine.

And keep in mind for more formal events, it can be well worth it to rent chiavari chairs to quickly upgrade the look of the room.

How much does it cost to rent linens in Fresno-Armona?

Order 1 per table, plus a napkin per guest for a seated meal. Sizes are fixed per table and per drop, and no rule of thumb gets you there, so match yours off this list:

  • Round linens. A 120 goes all the way to the floor on a 60-inch round, and a 108 sits at lap height with the legs on show. A cocktail table needs a cloth of its own, sized by height: 108 inches for a 30-inch highboy, 90 inches for the short version.
  • Rectangular linens. Floor length is a 90 by 132 on a 6-foot banquet table and a 90 by 156 on an 8-foot. Either one drops to lap height with a 60 by 120. Rent rectangular linens for banquet-style setups at farm properties or community halls.
  • Square linens. A 48-inch square takes a 72. A 60-inch square sits at lap height with a 90 and drapes fully with a 108. A 72-inch square uses a 120 or a 132. Browse square linens for specialty table shapes.
  • Chair covers and accessories. This is how folding chairs join your color scheme.
  • Napkins. 1 napkin per guest at a seated meal.

Floor length hides the table legs and gives the room a more formal look, and we recommend it for quinceañeras, wedding receptions and any dinner your guests stay seated through.

If you’re hosting a graduation lunch, a backyard dinner or an afternoon in a park, lap length keeps things easier and does the job. Either way, your vendor launders the cloths at both ends, so they turn up pressed and you have nothing to wash on Sunday.

Send your vendor the table list with the sizes and heights on it, and they’ll match the linens to it.

How much does it cost to rent bar and glassware in Fresno-Armona?

Ask your venue what is already behind the bar. A backyard or a farm property usually has nothing there, so you’ll be ordering a portable one. It gives whoever is pouring a surface to work on, with storage below it for bottles and ice.

Plan on 1 drink per guest per hour, which puts 100 guests at a 4-hour reception around 400 drinks.

Put one more question to your venue: will they wash glassware on site while the party runs? If they will, you can order less than you would otherwise.

What bar and glassware go for here:

Bars~$98
Specialty Glasses~$1

How much does it cost to rent lounge furniture in Fresno-Armona?

Figure roughly 1 grouping per 100 guests, so a party of 150 comes to 1 or 2 of them.

Start with the sofa or settee, then set chairs and ottomans around it. Add square ottomans for the extra seats, since they open the group up on every side and let more guests drop into the conversation.

Where you put a grouping counts for as much as how many you order. Keep them clear of the dance floor and off the path between the buffet and the tables, so nobody is edging past a sofa with a full plate. A wall or a corner works, and it gives your guests somewhere comfortable to sit away from the dinner tables.

How much does it cost to rent decor in Fresno-Armona?

A bare community hall or an empty tent leaves all of the decorating to you and your team, while a venue with its own architecture, greenery or lighting carries part of the load. Walk the space before you settle on a decor number.

Pipe and drape gives you a backdrop behind a head table, hides a service entrance, or brings the far end of a long hall in closer. There is no published panel math for drape, so get the length of the run in feet and send that figure to your vendor.

Stanchions work at a smaller scale, guiding guests from the door to where you want them and keeping a clear path past a gift table.

Table decor comes per table, so the number is already sitting in your table order. Settle on linen colors first, then choose centerpieces that sit well with them.

And the decor rates:

Pipe & Drape~$14

What Else You Need to Know About Planning an Event in Fresno-Armona

Climate: Heat, Fog, and Air Quality in Fresno

Three separate climate patterns shape event planning in Fresno-Armona: summer heat, winter fog, and valley air quality. Each one carries its own planning consequences, so it’s worth understanding all three before you pick a date.

Summer Heat (July–August)

July and August in Fresno-Armona average 98 to 102°F. At that temperature, a daytime outdoor event stops being merely uncomfortable and starts being a real safety risk for guests standing outside for any length of time.

If your date falls in July or August, plan entirely around the heat: move the event indoors or push it to evening hours after the sun sets. An early-morning start, wrapped up before 11 am, is a summer workaround worth serious consideration, since valley heat builds through the afternoon and does not ease again until close to sunset. If a midday outdoor event truly cannot be avoided during this window of extreme heat, an event tent, along with cooling equipment, is essentially mandatory for safety and guest comfort.

The two real shoulder seasons, April through June and September through October, run 75 to 90°F with low humidity, and that’s where most outdoor events here should land if the date is flexible at all.

Book those windows first, and treat summer as a fallback only when a date truly cannot move.

Winter Tule Fog

Tule fog is dense, ground-hugging fog unique to California’s Central Valley, and it settles in heaviest from December through February. This is thicker than ordinary morning haze: visibility can drop to a few hundred feet or less, and it can linger for days without lifting.

For event planning, the real consequence is vendor delivery. A tent, tables, or catering truck scheduled for an early tule-fog morning can run hours behind if the fog hasn’t cleared enough to drive safely on the highway. Experienced local vendors build slack into their delivery windows during these months. If you’re booking a winter event, ask your rental company directly how they handle a fog delay.

Air Quality and Spare the Air Days

A “Spare the Air” day is a public air-quality alert issued when pollution levels in the San Joaquin Valley climb high enough to pose a health risk, and they’re common here, especially in summer and fall. On these days, extended outdoor activity is discouraged for good reason, and an outdoor event may need to move indoors on short notice.

Ask your venue and rental company about their air-quality contingency before you sign a contract.

Fresno-Armona’s Annual Event Calendar

Two recurring events reshape venue and vendor availability across the Fresno-Armona metro each year. Check your date against both before you book anything.

Hmong New Year (December 26–29)

Every year from December 26 through 29, the Fresno Fairgrounds hosts the Hmong New Year celebration, the largest in the United States, drawing more than 100,000 attendees. That scale makes it one of the biggest annual events in the entire Central Valley.

If your event falls anywhere near that window, expect real competition for venues, hotel blocks, and vendors across the metro. Book meaningfully earlier than you would for a typical late-December date, and confirm that your venue and caterer aren’t already stretched thin by festival-related bookings.

Clovis Rodeo (Last Full Weekend in April)

The Clovis Rodeo runs the last full weekend of April every year, and draws roughly 50,000 attendees to the Clovis area, along with a rodeo parade and concert lineup that pull crowds beyond the rodeo grounds itself.

If your date lands in that window, especially anywhere near Clovis, book earlier than usual. Venues and vendors that are wide open in February can be much harder to land by the time April rolls around.

Fresno-Armona’s Agricultural Identity & Event Opportunities

Fresno-Armona’s agricultural roots show up directly in the kinds of events people host here.

Armona and the wider Kings County area sit farther from the city center and skew more rural, so events there tend to take place in farm settings and community halls, where Fresno proper leans on hotel ballrooms and dedicated event venues.

If you’re planning an event in that part of the region, start your venue search with local farms, ranch properties, and community halls instead of standard banquet venues. These spaces also tend to book differently than a hotel ballroom does, so ask early about what’s included, tables, chairs, and shelter in particular, since a farm property may not come with any of it built in.

Since many of these spaces are outdoor by nature, confirm whether the venue provides any shelter at all before you book it. If it doesn’t, a tent rental is usually worth the added cost here specifically, given the heat, fog, and air-quality swings already covered above.

How Far Ahead to Book in Fresno-Armona

Two stretches on the calendar are worth booking well in advance in Fresno-Armona. May is graduation season, and it brings massive demand for outdoor party rentals as families celebrate all at once. September and October bring harvest-season events, fall weddings, and quinceañeras into a tight window, all competing for the same pool of venues, caterers, and rental companies.

The Hmong New Year celebration, covered above, matters here too. More than 100,000 people descend on the Fresno Fairgrounds that week, and that pulls hotel rooms, catering staff, and rental inventory from across the whole metro. If your date falls in that window, start booking early.

Outside those three stretches, a normal lead time works fine for most vendors and venues here. It’s a real but modest-sized metro, so unless you’re competing with one of these specific windows, you have more flexibility here than in a bigger market.

Permits and Regulations in Fresno-Armona

Your address and what you put on the ground decide which permits you need.

Tents and canopies bring a step of their own. A structure larger than 10 by 10 feet needs a permit through the City of Fresno’s Planning and Development building safety office, so get the dimensions of the tent you are considering from your rental company and start that paperwork alongside the booking. If more than 50 people are coming to a public gathering, the Fresno Police Department needs advance notice too.

If your event is in Armona, you are in Kings County, and City of Fresno rules are not the ones that apply. Ask whoever manages the site which rules do.

Venues in Fresno-Armona

Fresno-Armona has a great mix of venues! The Grand 1401 offers a polished, upscale setting for weddings and milestone events. Bankers Ballroom, housed in a historic downtown Fresno building, provides events with a distinctive backdrop without requiring much extra styling. Valdez Hall is a solid pick for a large family gathering or quinceañera, the kind of event the area hosts in real volume.

Beyond these three, the Fresno Convention Center handles large indoor events, and Woodward Park and Roeding Park both host permitted outdoor gatherings if you want a public green space instead of a private venue.

For a longer list, our guide to event venues in Fresno-Armona covers more spaces across the area.

Need Party Rentals in Fresno?
