How much does it cost to rent tables in Lafayette?

Some venues include tables with the room, so get that list before you order anything. You’ll pick from 4 categories here:

  • Round tables. A 60-inch round seats 8 with formal place settings, or 10 at a casual buffet. A 72-inch round takes 10 to 12. We recommend ordering to the lower figure at either size if you’re serving a plated dinner, since it leaves elbow room for 3 glasses per guest and the dessert flatware above the plate.
  • Rectangular tables. Count 6 to 8 guests along a 6-footer, or 8 to 10 along an 8-footer. If you’re throwing a crawfish boil, order rectangles and run them together in a row, with newspaper down the middle and shells piling up in front of every seat.
  • Specialty and picnic tables. This group covers table shapes beyond round and rectangular: farm and harvest tables, serpentine sections that curve into an arc, sweetheart tables for two, and barrel tables.   • Cocktail tables. Pick your ratio on whether guests eat sitting down. A standing reception takes 1 cocktail table for every 4 or 5 guests, while a seated dinner drops it to 1 per 10. Count a boil as a standing party, because people eat, get up, and come back for another round, so plan on the higher count. Leave 30 to 36 inches of clear floor between them.

How much does it cost to rent chairs in Lafayette?

Chairs are the easy part of the order: 1 per guest, with a handful of extras for the head table and any late replies. Lafayette prices 2 styles:

  • Folding chairs. Folding chairs usually fall into two groups: plain plastic or resin folding (AKA garden chairs). Plastic chairs do not usually come with padding, so they’re best for short ceremonies or casual events. Resin folding chairs usually come with padding or can have seating pads added onto the order, so they’re a nice upgrade if your guests will be sitting longer.
  • Chiavari and luxury chairs. Chiavari chairs are a more formal choice than folding chairs, and they typically come in gold, silver, white, black or wood. Because they look more finished, you can leave covers and sashes off the order. Chiavari chairs are padded, which is much more comfortable if your guests will be sitting all evening.

The kind of chair you should choose depends on how long your guests will be sitting. If they’ll be sitting for more than 30 minutes or so, we recommend choosing something with padding, like a resin folding chair or a garden chair. If the event is more casual and guests are expected to be up and down, then a folding chair without padding is probably fine. And keep in mind for more formal events, it can be well worth it to rent chiavari chairs to quickly upgrade the look of the room.

How much does it cost to rent linens in Lafayette?

Plan 1 per table, plus a napkin per guest for a seated meal. Then look up the cloth for each table you ordered. Every pairing is fixed, and you can’t work it out from a table’s measurements:

  • Round linens. Order a 120 to take a 60-inch round all the way down, or a 90 or a 108 to leave it at lap height. Move up to a 72-inch round and full length is a 132.
  • Rectangular linens. Cloths for the banquet tables go by length. A 90 by 132 drapes a 6-foot rectangular linen to the floor, a 90 by 156 does the same job on an 8-foot, and a 60 by 120 stops either of them at lap height.

So match each table to its cloth off a sizing chart, one table at a time, before the order goes in. Cleaning and pressing stay with the vendor, so the Monday after your party stays quiet.

That leaves you one decision: how far the cloth drops. Plenty of Lafayette’s best gatherings happen in somebody’s yard, and a yard has no seating built into it. Every seat at a home event is a seat that arrived on a truck, so count your groupings against the guests who won’t be at a dinner table.

Look at the room you booked before you order any of this. If you’ve booked a hall built for a bigger crowd than yours, plan on drape to bring the space in.

Use pipe and drape as a temporary wall: behind the head table for photos, across a service door to hide it for the night, or down the far end of a hall you don’t need all of. Weather, Hurricanes, and Mosquitoes

Lafayette’s subtropical climate and hurricane risk shape when to schedule an outdoor event here, and the region’s mosquitoes are worth planning around, too. Here’s what each one means for your date.

Heat, Humidity, and Hurricane Season

October through April is Lafayette’s biggest event season. But fall, specifically October through November, is the most reliable stretch because of the warm but manageable days in the 75–85°F range. Winter stays mild too, usually 55 to 70°F, with only an occasional cold snap and rare light frost between December and February. Spring, February through April, is excellent as well, and it happens to be the same window that the Mardi Gras season falls into. Basically, there’s a ton of wiggle room in this city if you want to host an outdoor event!

But Summer is a different story. May through September brings a heat index of 100 to 110°F along with oppressive humidity, which makes an all-day outdoor event a hard sell for guests. If your date is locked into summer, push the event to the evening and build in shade and water wherever people will actually be standing.

Hurricane season runs June through November, covering half the year, and it’s a real risk here. Hurricane Ida in 2021 was devastating to the region, and that’s the scale you should take seriously when you pick a date in this window. Have a firm indoor backup venue or a clear rescheduling policy built into your plans if you’re planning this season.

Mosquitoes: A Real Planning Consideration

A few small setup choices make a real difference here. Put a repellent station near the entrance, ring the perimeter with citronella candles or torches, and consider a misting system if the event runs into the evening or sits near water, which covers a lot of ground in bayou-adjacent Lafayette. If you’re renting outdoor lighting for an evening event anyway, choose warm-toned string lights over bright white ones. Festival International de Louisiane (April)

Festival International de Louisiane takes over downtown Lafayette for five days every April, April 22–26 in 2026, and draws more than 300,000 people, making it the largest non-ticketed outdoor Francophone festival in the country. Live Music Is Non-Negotiable

A live Zydeco or Cajun band is the default at most Lafayette events, not a DJ-and-speaker setup. How Far Ahead to Book in Lafayette

Lafayette runs three overlapping demand windows back-to-back, which makes the lead time here different from that in many other markets. Mardi Gras season (January–February) flows straight into crawfish season (February–May), and Festival International de Louisiane’s five-day week lands right in the middle of that overlap every April. From January through April, expect real competition for venues, caterers, and rental equipment, and book several months in advance if your date falls within that stretch.

May is worth watching, too. Crawfish season technically runs through May, and the last big boils before summer heat sets in still pull on the same vendor pool, even though the spring rush has technically ended by then.

Outside of January through May, a normal lead time works fine for most vendors and venues in Lafayette. It’s really this one long stretch that needs the extra runway.

Permits and Regulations in Lafayette

If you’re hosting in a private hall or a family backyard, you’ll usually stay clear of the permit office. If you’re on public property, Lafayette Consolidated Government runs a special event permit process, so start with whoever manages the site you booked. Global Positioning System (GPS) tracking technology may need to be enabled in Vendeze products and services in order to determine the location (latitude and longitude) of users of the Vendeze products and services. This information is transmitted to Vendeze, Vendeze’ users, and temporarily stored by Vendeze. Vendeze does not provide this information to any other third party. This information is used in conjunction with Vendeze’ applications.

Security

Vendeze uses industry-standard technologies when transferring and receiving consumer data exchanged between Vendeze and other companies to help ensure its security. This site has security measures in place to protect the loss, misuse and alteration of the information under Vendeze’ control. Vendeze’ servers are backed up regularly and protected by security systems.

Cookies

“Cookies” are small pieces of information that are stored by your browser on your computer’s hard drive. The Vendeze site uses cookies to keep track of your session, shopping cart, and advertising delivery. Vendeze may also use cookies to deliver content specific to your interests and to save your password. Vendeze may use an outside ad company to display ads on the Vendeze site. Do Not Track Requests.

Your web browser may have a setting that allows you to automatically send a “Do Not Track” message to the websites you visit. Vendeze does not currently have technology to respond to such requests.

Links

Vendeze may create links to other web sites. Vendeze will make a reasonable effort to link only to sites that meet similar standards for maintaining each individual’s right to privacy. However, many other sites that are not associated or authorized by Vendeze may have links leading to our site. Vendeze cannot control these links and Vendeze is not responsible for any content appearing on these sites.

Amendments

Vendeze may amend this policy at any time. If Vendeze is going to use personally identifiable information collected through the Vendeze site in a manner materially different from that stated at the time of collection, Vendeze will notify users via email and/or by posting a notice on the Vendeze site for thirty (30) days prior to such use. This Privacy Policy may not be otherwise amended except in a writing that specifically refers to this Privacy Policy and is physically signed by both parties.
