Rentals only — delivery, setup and damage waiver are quoted separately.
Why a range? Picking your table and chair styles below narrows it. The rest of the spread comes from the other categories — the low end assumes a practical setup, the high end a more formal one.

Real prices depend on your dates and what's available.
See rentalsDelivery and setup. Not included above. Budget roughly $150 to $200 for delivery in most metro areas, and more if the site sits well outside the metro or the load-in needs extra labor — walk-ups, freight elevators and after-hours windows all add time.
Damage waiver.
Totals cover rentals only — not venue, food or staffing.
How much does it cost to rent tables in Central Pennsylvania?
Start here, because the table count sets the linen count, the place settings and the floor plan behind it.
A 60-inch round seats 8 with formal place settings, or 10 at a casual buffet. Glassware accounts for the gap: a formal cover uses 3 glasses per guest against 2 for a casual one, and they take up the tabletop. For 200 guests that means 25 rounds at a seated dinner and 20 at a buffet.
6-foot rectangles seat 6 to 8 and butt end to end, which is how you get the long table look a barn suits. Our guide to table sizes and seating runs through the other shapes.
Cocktail tables depend on the format. At a standing reception, 1 for every 4 or 5 guests. Once there is a seated meal, 1 per 10. Guests arriving across a wider window is normal here, which is a good argument for having a few more than the minimum.
Specialty and picnic tables cover table shapes beyond round and rectangular: farm and harvest tables, serpentine sections that curve into an arc, sweetheart tables for two, and barrel tables. Check the pricing table below to see which ones are available before you plan a layout around one.
Table rates across the region:
Tables
| Item | Typical day rate |
|---|---|
| Specialty & Picnic Tables | ~$49 |
| Round Tables | ~$12 |
| Cocktail Tables | ~$10 |
| Rectangular Tables | ~$9 |
How much does it cost to rent chairs in Central Pennsylvania?
One per guest, plus a handful spare for the head table and whoever is working. That number never causes trouble. The style does.
- Folding chairs. Folding chairs usually fall into two groups: plain plastic or resin folding (AKA garden chairs). Plastic chairs do not usually come with padding, so they’re best for short ceremonies or casual events. Resin folding chairs usually come with padding or can have seating pads added onto the order, so they’re a nice upgrade if your guests will be sitting longer.
- Chiavari and luxury chairs. These are a more formal choice than folding chairs, and they typically come in gold, silver, white, black or wood. Because they look more finished, you can leave covers and sashes off the order. Chiavari chairs are padded, which is much more comfortable if your guests will be sitting all evening.
- Barstools. Barstools stand at cocktail-table height, so your guests can sit down without leaving the conversation. A few is enough for a standing reception.
The kind of chair you should choose depends on how long your guests will be sitting. If they’ll be sitting for more than 30 minutes or so, we recommend choosing something with padding, like a resin folding chair or a garden chair. If the event is more casual and guests are expected to be up and down, then a folding chair without padding is probably fine. And keep in mind for more formal events, it can be well worth it to rent chiavari chairs to quickly upgrade the look of the room.
Worth checking the inclusion list before you order any of these. A fire hall or a school cafeteria very likely owns its chairs already.
Chair rates in the region:
Chairs
| Item | Typical day rate |
|---|---|
| Barstools | ~$11 |
| Luxury & Chiavari Chairs | ~$8 |
| Folding Chairs | ~$4 |

How much does it cost to rent linens in Central Pennsylvania?
Order 1 per table, plus a napkin per guest for a seated meal. Then it is a question of matching a cloth to a table, which our guide to what size tablecloth you need sets out in full.
The pairings you will use most often: a 120-inch cloth drops a 60-inch round to the floor, a 108 leaves it at lap height, and a 6-foot banquet table wants a 90 by 132 to reach the ground.
The count people forget is the cocktail tables, which need cloths of their own. A 30-inch highboy and a 30-inch low table share a top and take different drops, so give the vendor a height along with the diameter.
Napkins price by the piece and follow the guest list; cloths follow the tables. Chair covers turn a hall’s mixed inventory of chairs into one colour, which is a common job in this region.
And everything goes back dirty, so nothing on the linen order comes home to be washed.
Linen rates:
Linens
| Item | Typical day rate |
|---|---|
| Round Linens | ~$15 |
| Rectangular Linens | ~$10 |
| Chair Covers & Accessories | ~$4 |
| Napkins | ~$0.85 |
How much does it cost to rent bar and glassware in Central Pennsylvania?
Find out in writing what the room already has behind the bar. A hotel ballroom in Hershey or Lancaster will usually have one. A rented empty barn floor will not, and that answer determines whether a bar is on the order or only the glassware.
Plan 1 drink per guest per hour, which puts a 4-hour reception for 200 guests around 800 drinks. Glassware is the count that gets underestimated. Order roughly 1 glass per drink instead of going by the guest count alone, because a guest who has wine with the meal and a cocktail afterwards has used 2 and left both somewhere in the room.
Toasts work differently: 1 bottle per 8 guests gives everyone a half glass. If the venue washes glassware on site you can come down about 25 percent, which is worth asking a hotel or a social hall with a real kitchen. Specialty glasses are for a signature drink and nothing else.
Water service belongs in this count, and a July afternoon here makes it a requirement. On the pouring, venues generally require a certified bartender and do not allow guests to pour for themselves.
Bar and glassware rates:
Bar and glassware
| Item | Typical day rate |
|---|---|
| Bars | ~$195 |
| Wine & Champagne Glasses | ~$2 |
| Specialty Glasses | ~$2 |
How much does it cost to rent lounge furniture in Central Pennsylvania?
Lounge furniture prices by the grouping, and you can work from roughly 1 per 100 guests. A grouping is a sofa or a pair of settees, 2 or 3 chairs or ottomans drawn in around it, and a coffee or side table in the middle for glasses.
It does the most work at a reception with no seated meal, where people are upright for hours. It also solves something particular to this region: guests drive in from several directions and arrive across a wide window, so early arrivals need somewhere to sit that is not a dinner chair at a table that is not ready.
Position them along the edges and near the bar, clear of the speakers, with a route between each grouping and the bar that nobody has to squeeze through.
Lounge rates:
Furniture
| Item | Typical day rate |
|---|---|
| Lounge Furniture | ~$850 |
| Sofas & Settees | ~$200 |
| Chairs & Ottomans | ~$95 |
| Coffee Tables & Side Tables | ~$55 |
How much does it cost to rent decor in Central Pennsylvania?
How much you need depends on what the room brings. A restored bank barn or a historic hotel ballroom carries its own character, so table decor may be all you add. A fire hall or a school cafeteria is a blank box and takes more.
Pipe and drape solves a blank box. It shortens a long room, hides what you are not using, and puts a backdrop behind the head table or the cake. No standard sizing rule exists. Measure the run and hand the vendor the number.
Table decor is counted per table and comes last, once the linens are decided.
Decor rates:
Decor
| Item | Typical day rate |
|---|---|
| Pipe & Drape | ~$1,175 |
| Table Decor | ~$4 |
What Else You Need to Know About Planning an Event in Central Pennsylvania
Your Venue Answers the Biggest Question on Your List
Three broad kinds of space operate across these counties, and what comes with the room differs in each.
Fire halls, church social halls and school cafeterias are a genuine institution here, and they generally own their tables and chairs outright. Hotel ballrooms in Hershey and Lancaster usually do as well, often with linens. Restored bank barns and working farm sites vary the most, and some are rented as an empty floor with nothing in it.
Ask for the inclusion list in writing while you are touring, not after you sign. Then order against the gap. This is not about renting less; it is about finding out what you never needed to rent, which is a different and more useful thing to know.
Four Areas, One Price Table
Central Pennsylvania here means the Harrisburg, Lancaster, York and State College areas and the towns between them, roughly nine counties. It is worth saying plainly, because competing pages variously call this South Central PA, Central PA and Northeast PA, and a reader genuinely cannot tell which pages are about their town.
There is no anchor city. A state capital, a tourism economy, a manufacturing town mid-revival and a university town are four different event economies sharing one rental picture.
What follows from that is practical. Guests routinely drive in from several directions and from outside the region entirely, so parking, drive time and a longer arrival window are ordinary planning facts here. A wider arrival window is a good reason to have somewhere for early guests to stand and put a drink down.
The Calendar That Takes Your Saturday
In a region this spread out the calendar is local. A date that is impossible in Centre County is wide open in York.
Penn State home Saturdays tighten space, hotel rooms and traffic around State College through the fall, and are close to invisible in Lancaster or York. The Pennsylvania Farm Show fills the Farm Show Complex in Harrisburg for a stretch each January and squeezes hotel blocks and vendor calendars in a month that is otherwise wide open, at the opposite end of the region from the football. Fall foliage fills the rural and resort properties in mid-October, a third pattern again, landing inside the region’s busiest booking months.
So check your date against whichever of those sits near your venue. Checking against all three tells you nothing useful.
The Outdoor Window, and What July Asks For
The usable outdoor stretch runs roughly late May through early October, and September into early October is the strongest part of it. The humidity breaks and the evenings cool off.
July is warm and sticky, so an all-afternoon outdoor event wants shade, airflow and a real water plan built in from the start, on top of the water count already in the bar section.
Tents are the region’s most-searched rental and they are genuinely available here. To get a quote, send a vendor three things: your guest count, the square footage you need covered, and the surface being staked into. Grass, gravel and asphalt each change the installation, and a supplier cannot price it without knowing which one you have.
The counter-move is worth saying out loud: an indoor room in the quiet months is a genuinely good option here.
How Far Ahead to Book Rentals in Central Pennsylvania
Start once the date and the venue are fixed, since those two decide everything that gets priced against them.
The tighter stretches are the ones above, and each is regional instead of uniform. A date outside your own end of the region’s busy window will have noticeably more available.
Permits and Regulations in Central Pennsylvania
What you need depends on which municipality or county owns the ground, and they do not ask the same questions. Alcohol in particular is often settled by the landowner before any state permit matters. Our Central Pennsylvania permit guide covers which authority to ask and what each one wants.
Venues in Central Pennsylvania
The three patterns above are the real choice. A hall or a ballroom hands you a room that is largely furnished. A barn or a farm site hands you a floor and a view. A resort sits somewhere between, and often has guest rooms attached, which matters when half your list is driving an hour.
Ask for the written list while you are touring, then price the difference. Our guide to event venues in Central Pennsylvania goes through the types in more detail.
Need Party Rentals in Central Pennsylvania?
What you spend here comes down to your guest count and how much of the room arrives already standing. That is the whole equation, and it is why the inclusion list is worth chasing before anything else.
