How much does it cost to rent tables in Chicago?

Tables are the first count to settle, because your linens, your place settings and your floor plan all follow from them.

A 60-inch round seats 8 with formal place settings, or 10 at a casual buffet, so 100 guests works out to 10 to 13 tables. At a round, everyone can talk across the middle. Long rectangles seat 8 to 10 each and give you the family-style look, with platters down the center for guests to pass. Squares split the difference: a 48-inch square and a 60-inch square both seat 8, and a 72-inch square takes 12, so a square is what to reach for when you want a wide table without a long one.

Cocktail tables get counted on their own, and the ratio moves with the kind of night you’re running. If the whole evening is a standing reception, you want 1 cocktail table for every 4 or 5 guests. If there’s a seated dinner and the cocktail hour is just that, 1 per 10 guests will do. They come in 24, 30 and 36-inch tops, in short and highboy heights, and 30 to 36 inches of space between them keeps a crowd moving.

How much does it cost to rent chairs in Chicago?

Your guest list sets this count exactly: 1 seat per guest, with a couple of spares for the head table and anyone working your event.

After that it comes down to comfort over the length of the day, and there are a few styles to weigh:

  • Folding chairs. No padding on them, and they stack into a corner once the dancing starts. That works fine at a ceremony, a cookout, or a buffet where nobody stays in a seat for long. Put someone in one for a 4-hour dinner and they’ll feel it by dessert.
  • Garden chairs in resin or wood. Cushioned and sturdier, and the wedding regular.
  • Chiavari and luxury chairs. Cushioned too, and they carry the formal look on their own, in gold, silver, white, black or wood. No covers or sashes are needed to get there.
  • Banquet chairs. Thick padding, and a frame that stacks and moves between rooms when the day changes over. This is the one built for an awards dinner or a conference session that runs several hours.
  • Benches. A bench seats several guests at once, and it suits long rectangles and a relaxed table.
  • Barstools. These belong with cocktail tables and along a bar, so count them with those pieces and order them together.

How much does it cost to rent linens in Chicago?

Order 1 per table, plus a napkin per guest for a seated meal, and size each cloth to the table it’s going on.

Every table size pairs with 2 cloths, a shorter drop and a longer one:

  • 48-inch round. A 90-inch cloth sits at lap height, and a 108 reaches the floor.
  • 60-inch square. 90 is lap length here as well, and 108 covers the legs completely.
  • 72-inch square. The same pair goes up to a 120 at lap height and a 132 for full coverage.

Lap length leaves the table legs showing, and it’s the easier look for a daytime party. Floor length covers them and reads dressier.

Your cocktail tables need cloths of their own, and that’s the count people miss. A 30-inch highboy and a 30-inch short table take different lengths even though the tops are the same size, so give the vendor the height along with the diameter.

Chair covers pull a mixed set of chairs into a single color, and they’re the quickest way to make your seating match. If you want 2 colors on the table, an overlay drapes a contrasting fabric across the base cloth, and a runner does the same job down the length of a rectangle.

A good starting point is 1 drink per guest per hour, so a 4-hour reception for 100 people works out to around 400 drinks. For glassware, you don’t want to go by the guest count alone. This is because any guest who has more than one drink, like a cocktail and a glass of wine, will use more than one glass. With that in mind, consider ordering 1 glass per drink instead of per guest. A champagne toast is easier to plan for: 1 bottle covers about 8 people. It’s also worth asking what your venue already keeps behind its bar, since a permitted park space and a rooftop with its own event team are very different starting points.

How much does it cost to rent lounge furniture in Chicago?

Plan on roughly 1 grouping per 100 guests. A grouping is a sofa or a pair of settees, a couple of armchairs or ottomans, and a low table in the middle so guests have somewhere to set a drink.

Lounge seating does its work at an event with no seated dinner, where people are on their feet for 3 or 4 hours and there’s nowhere to put a glass down. Corporate events are a big part of Chicago’s calendar, and a cocktail reception is exactly where a few groupings change how the room feels for the guests who want to sit and talk.

How much does it cost to rent decor in Chicago?

Start with the room you’ve booked. A space that’s already finished needs very little from you. A big open floor takes well to pipe and drape, which gives you a backdrop for the head table or the cake and closes off the square footage you aren’t using.

These are for events with children, so start with how many kids are coming and how old they are. A bounce house suits a younger crowd, an obstacle course gives older kids something to race at, and inflatable games cover a mixed group where not everyone wants to jump. Chicago summers run hot and humid at 80 to 92°F, and that’s when a water slide is the one to look at.

Setup comes with a short list of requirements, so walk the space before you book. Grass is the best surface. Concrete and other hard ground are out, and so is a slope or a patch of uneven lawn. Look straight up too, since low branches and overhead cables sit right where an inflatable stands up. Most units plug into a standard 110-volt outlet, so find the nearest one and measure the distance to the blower; a generator covers you in a park with no power nearby.

Chicago’s outdoor window runs shorter than most cities get, which concentrates demand into a tighter stretch than a city with a longer shoulder season ever has to deal with. Summer runs hot and humid, 80 to 92°F, with a real lake breeze near the lakefront that can make a waterfront event feel several degrees cooler than one a mile inland, worth knowing if you’re choosing between two otherwise-comparable venues on a hot week.

Fall is beautiful in September, but conditions turn increasingly cold and rainy by October, closing the window fast instead of tapering off gradually the way it does in a milder climate. Layer July 4th weekend and May-June graduation season on top of the general summer crush, and the entire stretch runs tight, well past the weeks around Blues Fest and Jazz Fest. December brings a separate, very high-demand peak of its own for indoor holiday parties, since the outdoor season is long over by then and every corporate calendar in the city is competing for the same indoor venues. Vendeze uses industry-standard technologies when transferring and receiving consumer data exchanged between Vendeze and other companies to help ensure its security. Global Positioning System (GPS) tracking technology may need to be enabled in Vendeze products and services in order to determine the location (latitude and longitude) of users of the Vendeze products and services. This information is transmitted to Vendeze, Vendeze’ users, and temporarily stored by Vendeze. Vendeze does not provide this information to any other third party. This information is used in conjunction with Vendeze’ applications.

Security

Vendeze uses industry-standard technologies when transferring and receiving consumer data exchanged between Vendeze and other companies to help ensure its security. This site has security measures in place to protect the loss, misuse and alteration of the information under Vendeze’ control. Vendeze’ servers are backed up regularly and protected by security systems.

Vendeze may create links to other web sites. Vendeze will make a reasonable effort to link only to sites that meet similar standards for maintaining each individual’s right to privacy. However, many other sites that are not associated or authorized by Vendeze may have links leading to our site.
