Chairs are 1 per guest, then a handful more for the head table, your vendors, and the cousin who RSVPs the week of. Style is the bigger call, since the chair changes how formal a room feels more than almost anything else you set out. You’ll be choosing between 2:

  • Poly folding chairs. Light, stackable and unpadded. That is what makes a fast flip possible, so you can quickly move chairs inside while guests socialize.

Your linen count follows your table count: 1 per table, plus a napkin per guest for a seated meal, so 20 to 25 rounds means 20 to 25 cloths.

The linen you need depends on what size tables you chose:

  • 60-inch round. A 120 reaches the floor, and a 108 sits at lap height with the table legs visible, which is the more relaxed of the 2 looks.
  • 48-inch round. That same 108 takes a smaller round all the way down.
  • 36-inch highboy. Cocktail tables count separately again, and these want a 120 of their own.

Placement does a lot of work here. Put the bar where guests pass it on the way in, and keep it clear of the buffet so people can get a drink without crossing the food service. 1 station handles a smaller party, and for a long guest list, ask your vendor whether a second one keeps things moving.

What Else You Need to Know About Planning an Event in Waco

Climate: April Tornadoes and Flash-Flood Risk

Waco’s climate breaks into two distinct planning realities, and neither deserves to get lumped into one generic “Texas storms” line.

Hot Summers (June–September)

Daily highs run 91 to 99°F, less humid than the Gulf Coast but still dangerous heat for an outdoor event. October through May is the reliable window here; if your date is flexible, aim for it and let the cooler months do some of the work.

April’s Tornado Risk and Recent Flooding

April is the single highest tornado month in the Waco area, with 24 of 99 recorded tornadoes within 25 miles since 1950 hitting that month. The 1953 F5 tornado that struck downtown Waco, killing 114 people, is still a real local reference point for how seriously this region takes spring storm warnings, not ancient history to gloss over.

Flash flooding is current and documented too: heavy rain has closed river walks, lake parks, and boat ramps around Lake Waco and the Brazos in recent years, with low-lying stretches of south and east Waco, and areas along Waco Creek near Baylor’s campus and southern downtown, the most flood-prone.

Treat that as a recurring risk, and check flood watches close to your event date if you’re booking anything riverfront or low-lying.

The Magnolia Effect Hasn’t Faded

Magnolia Market at the Silos remains Waco’s anchor tourist draw, and tour buses downtown are still a daily sight. This isn’t nostalgia from a canceled show. Spring at the Silos, held every March into April, and Silobration, held every late October and regularly drawing more than 30,000 guests, are both confirmed current.

This ongoing tourism effect is the reason Waco pulls destination-wedding and small-event traffic that a city this size otherwise wouldn’t see, so build it into your venue search even if your event has nothing to do with Magnolia directly, since it shapes what local vendors are used to hosting.

Fourth on the Brazos: A Different Use for McLane Stadium

Every July 4th, McLane Stadium’s Touchdown Alley hosts Fourth on the Brazos, with live music, food, fireworks, and a laser light display.

It’s proof the stadium has a real community-event life beyond football gamedays. If you want a nearby venue that evening, book ahead of it, since the fireworks display draws a crowd well beyond the stadium’s own gates.

Baylor Football and Homecoming
