How much does it cost to rent tables in Seattle-Tacoma?

Do the seating math before anything else. An 8-foot rectangle seats 8 to 10, so 80 guests is 8 to 10 tables. A 6-foot rectangle seats 6 to 8. A 60-inch round seats 8 with formal place settings, or 10 at a casual buffet.

For a Woodinville winery event, rectangles pushed together into long banquet rows suit the setting very well. Mixing sizes in those rows changes your linen order too, since a 6-foot and an 8-foot table take different cloths. Picnic tables bring their own seating with them, which takes chairs off the order for whatever part of the floor they cover.

Cocktail tables give a standing crowd somewhere to set a glass. At a reception where no one sits down to eat, you’ll need 1 cocktail table for every 4 or 5 guests. If you’re going to have a seated meal and then a social hour, you can get away with 1 per 10 guests since some people will hang around their assigned seats.

Chairs are easy! One per guest, with a couple extras just in case.

Here’s what you’re choosing from:

  • Poly folding chairs. Light, stackable and unpadded. That is what makes a fast flip possible, so two people can reset a room while guests are outside with a drink. Nobody notices a bare seat during a 30-minute ceremony.
  • Barstools. A few of these give guests somewhere to sit during the standing hour, at the right height for your cocktail tables.

How much does it cost to rent linens in Seattle-Tacoma?

Order linens after your table count is locked: 1 per table, plus a napkin per guest for a seated meal.

Send the vendor your table list with dimensions, since a 6-foot and an 8-foot rectangle take different cloths. Each table size has 2 cloths that fit it, and the choice between them is how much of the leg you want covered. On a 60-inch round, a 108-inch cloth stops at lap height and a 120 goes to the floor. An 8-foot banquet table takes a 60 by 120 at lap length and a 90 by 156 to the floor. Floor length is the dressier drop, and lap length is the relaxed one.

Napkins go 1 per guest at a seated meal, and a few beyond your headcount cover the bar and the buffet.

How much does it cost to rent decor in Seattle-Tacoma?

If your space is larger than your guest list needs, pipe and drape brings the walls in and gives the party a defined edge. It also hides a service door or the corner where catering sets up.

Stanchions keep a check-in line from spilling into the room, and they do the same at the bar.

Other rentals in Seattle-Tacoma

Start with your total number of drinks, which is your guest count multiplied by the hours you’re pouring. At 150 guests over 4 hours that’s 600 drinks. From there the usual split runs 3 ways:

  • Beer, about 40%. 240 glasses out of those 600.
  • Wine, about 36%. 216 glasses.
  • All-purpose glasses, about 24%. The remaining 144, covering cocktails and water.

Woodinville wine shows up on plenty of local menus, so if your bar leans that way, move the wine share up and the beer share down before you order.

Champagne flutes are counted differently, at 1 per guest, since they’re only out for the toast. Rocks glasses are the versatile shape if you’d sooner cover several drinks with one order.

A couple of things shift the total. If your venue washes glassware on site, order about 25% fewer, because the same glass comes back around during the night. And check what your venue already stocks, since anything on their shelves is something you don’t need to bring.

One more thing to settle early. Venues generally require a certified bartender and do not allow guests to pour for themselves. That’s a staffing question for your caterer or a bar service, and it decides who ends up behind the bar you set up.

Eight Good Weeks: Seattle’s Outdoor Season

Seattle treats its short outdoor window as precious, and the weather explains why.

The July–August Peak (And Its One Real Risk)

July and August run 70 to 82°F with low humidity and almost no rain, glorious weather that locals treat as a small miracle and never take for granted. The one real risk in this window is wildfire smoke, which increasingly affects air quality in August and September and can force an outdoor event to shift on short notice.

If your date falls in this stretch, have a real indoor or covered backup in place, beyond a rain plan; a tent alone doesn’t solve a smoke problem, but paired with an actual air-quality contingency, it gives you somewhere to move the party if conditions change fast.

The Gray Season (October–May)

The rest of the year is persistently overcast, with regular drizzle and rain, so outdoor events need tenting or an indoor venue as the default plan, not the backup.

Spring is a coin flip: April and May can be beautiful or cold and rainy, roughly 50/50, so line up a tent or indoor fallback even if you’re optimistic about the forecast. Late September can still deliver a good outdoor day, but conditions deteriorate quickly once October arrives.

Every Memorial Day weekend, Seattle Center hosts the Northwest Folklife Festival, one of the largest folk and world music festivals in North America and a decades-running tradition that draws more than 250,000 participants. If you want anything near Seattle Center that weekend, expect real competition for it, and know that the crowd draw extends well beyond the festival grounds themselves into the surrounding neighborhood.

Seattle’s Asian-Pacific community shows up as a real, sustained annual program, well beyond a population statistic: Seattle Center Festál runs roughly two dozen free cultural festivals from February through November, including Tết in Seattle, the Seattle Cherry Blossom and Japanese Cultural Festival, Pagdiriwang Philippine Festival, the Indigenous People Festival, and events running through Diwali and Hmong New Year in November.

Thirty minutes east of Seattle, Woodinville is home to more than 100 wineries, and locals treat it the way Bay Area residents treat Napa: a real, close-by event destination, not a far-off trip. Willows Lodge and Chateau Ste. Michelle are the area’s signature venues if you’re planning a wine-country event.

How Far Ahead to Book Around Seattle’s Calendar

Given how compressed and in-demand Seattle’s summer window is, July and August function as one long peak stretch where virtually every outdoor event in the city is trying to happen at once. Memorial Day weekend, thanks to Folklife, independently tightens things up around Seattle Center specifically, and Seafair in August adds another spike on top of the general summer crush.

December brings very high demand for indoor holiday parties on top of all of it, driven in no small part by the corporate calendars of the city’s major employers. If your date falls anywhere in the summer window, book earlier than you’d think you need to.

Permits and Regulations in Seattle-Tacoma

What you need depends on where your event sits, and Seattle and Tacoma are separate cities that answer that question separately. Start with the venue, which will know what its own address requires, then ask the city it sits in about your date, your site, and anything you plan to put up. Serving alcohol adds a state license on top of whatever the city asks for. That is usually a short conversation, and then it is off your plate.

Gas Works Park delivers spectacular views for a permitted outdoor event. Lake Union and Lake Washington both offer venue options if that’s the setting you want, and Discovery Park and Olympic Sculpture Park add to the city’s permitted outdoor options with their own distinct character.

Woodinville, covered above, is the pick for anyone leaning into wine country instead.
