Settle how your guests will be eating before you pick a shape, because a plated dinner, a buffet and a standing reception each call for a different table. Your total then moves with the size of the event and with how far past the 6 categories below your order goes. If you’re setting up outdoors, a tent, a dance floor or a stage can each take a large bite out of the budget on its own. San Antonio prices 5 table shapes:
- Round tables. A 60-inch round seats 8 with formal place settings, or 10 at a casual buffet, so a list of 240 works out to 24 to 30 rounds. Order 1 chair per guest, then round up by a few so the head table and the late yeses are covered. After that, pick a style from what San Antonio vendors carry:
- Folding chairs. Folding chairs usually fall into two groups: plain plastic or resin folding (AKA garden chairs). Plastic chairs do not usually come with padding, so they’re best for short ceremonies or casual events. Resin folding chairs usually come with padding or can have seating pads added onto the order, so they’re a nice upgrade if your guests will be sitting longer.
- Chiavari and luxury chairs. These are a more formal choice than folding chairs, and they typically come in gold, silver, white, black or wood. You can skip covers and sashes on this order. Chiavari chairs are padded, which is much more comfortable if your guests will be sitting all evening.
- Barstools. Barstools stand at cocktail-table height, so your guests can sit down without leaving the conversation. A few are enough for a standing reception.
- Benches and other seating. Benches run alongside long tables and keep the room informal. Nobody has an assigned seat, so your guests sit where they land and slide down to make room. We recommend benches for a family-style dinner, a rehearsal dinner or a backyard party, and chairs when your guests are seated for hours or the event is a formal one.
The kind of chair you should choose depends on how long your guests will be sitting. If they’ll be sitting for more than 30 minutes or so, we recommend choosing something with padding, like a resin folding chair or a garden chair. If the event is more casual and guests are expected to be up and down, then a folding chair without padding is probably fine. And keep in mind for more formal events, it can be well worth it to rent chiavari chairs to quickly upgrade the look of the room.

How much does it cost to rent linens in San Antonio?
Order 1 per table, plus a napkin per guest for a seated meal. Look the sizes up before you place that order. Each cloth is cut for a single table size at a single drop, so work through your tables one at a time:
- Round. A 120 drops a 60-inch round all the way to the floor. Both the 108 and the 90 stop short of that, at lap height. A 30-inch highboy is a round as well and wants a 108 of its own, so count those separately from your dining cloths.
- Square. A 48-inch square wants a 72. At 60 inches across, it’s a 90 for lap length and a 108 for the floor. A 72-inch square moves up to a 120 and a 132.
- Rectangular. Take a 6-foot banquet table to the floor with a 90 by 132. The 8-foot version of the same table needs a 90 by 156. A 60 by 120 is lap length on both.
Both drops fit the same table, so pick on looks. Floor length covers the table legs completely and dresses the room up, and we recommend it for wedding receptions, awards banquets and fundraisers. Lap length leaves the legs showing and keeps the room casual, so it suits a backyard birthday, a graduation party or a weekday company lunch.
Chair covers and sashes belong on this order too. If you’re renting poly folding chairs and want them carrying your color scheme, add a cover for each one and a sash for the accent color. Count napkins by guest, and use them to bring in a second color without changing a single cloth. Washing and pressing go back with the vendor, so none of it ends up in your laundry.

San Antonio’s corporate calendar runs on USAA, Valero Energy and Rackspace, and Joint Base San Antonio adds a steady run of retirement and promotion receptions on top of it. If you’re hosting one of those, order the full 2 or 3 groupings. A reception like that has no dinner service, so the groupings you bring are the only place your guests can sit down.
A grouping starts with the sofa or settee. Chairs and ottomans go on either side of it, and a coffee table in the middle holds whatever people are carrying. A square ottoman has neither back nor arms, so your guests can drop onto any side of it and the circle never closes. Fiesta San Antonio: 11 Days That Shape the Whole City’s Calendar
Fiesta San Antonio is the single biggest driver of the city’s event calendar. It affects venues and vendors across the whole city, well beyond the areas closest to the parades.
What Fiesta Actually Is
Fiesta San Antonio runs every April (2026: April 16–26) and has done so every year since 1891. Over those 11 days, more than 100 associated events take place across the city, drawing more than 2.5 million attendees and contributing an estimated $340 million to the local economy, supporting 3,464 full-time-equivalent local jobs, according to a study by the UTSA Center for Community and Business Research.
That scale means Fiesta touches nearly every venue category in San Antonio during its run, from block parties to corporate galas to parade-adjacent gatherings, well beyond the parades most visitors picture when they hear the name. Cascarones, hollowed-out eggs filled with confetti that guests crack over each other’s heads, are a signature tradition worth knowing about even if your event has nothing to do with Fiesta directly. They show up at parties across the city during this window and give a real sense of how thoroughly the celebration takes over daily life here.
Booking Around Fiesta Season
Vendors and venues routinely raise prices and require advance booking during Fiesta season. That’s standard practice here, and not price gouging: demand across every category spikes at once, and most suppliers plan their whole year around this stretch.
Fiesta also happens to land in San Antonio’s best weather window of the year (more on that in the Weather and Timing section below), which stacks even more demand onto an already busy two weeks. If your event falls anywhere in mid-to-late April, whether or not it’s Fiesta-related, book months earlier than you would for the same event in a slower month like July.
A common mistake planners make here is assuming that only downtown or only the official parade route is affected. In practice, catering companies, rental delivery trucks, and event staff are stretched thin across the whole metro during Fiesta, far beyond the areas near the main parade grounds.
A backyard birthday party in a suburb 20 minutes from downtown can still run into a caterer who’s already booked solid, or a delivery window that’s tighter than usual because trucks are routed around parade closures. Ask any vendor directly whether Fiesta affects their schedule that week, even if your venue is nowhere near the festivities.
Weather and Timing in San Antonio
October through April is San Antonio’s real event season, similar to Houston but a little drier and less humid. If your date is flexible at all, book somewhere in this stretch first.
Summer runs hard and hot. From May through September, temperatures regularly reach 95 to 100°F, and outdoor events need to be moved to evenings to keep guests standing outside comfortable for any length of time.
A summer date doesn’t have to be a lost cause. Pushing the start time to the early evening, adding a few extra water stations near where people naturally cluster (the bar, the food line, the dance floor), and confirming that your venue has real air-conditioned indoor space to retreat to all make a bigger difference than most hosts expect.
Winter is mild by comparison, 50 to 65°F from December through February, though occasional ice events are worth planning a backup for if your event is outdoors.
Spring, March through April, is when San Antonio’s weather is at its best: 68 to 85°F, with comfortable evenings and clear days. That’s also exactly when Fiesta lands, so the best weather window of the year and the highest-demand stretch of the year are the same two months. Booking a spring event unrelated to Fiesta doesn’t get you out of that demand spike either. Every vendor and venue in the city is already pulled toward that window, whether your event mentions Fiesta or not.
Choosing a Venue Zone: Downtown, Hill Country, or On-Base
San Antonio spreads across three distinct venue zones, and where you land changes the whole guest experience: travel time, parking, even how formal the event feels.
Downtown Riverwalk and adjacent hotel venues put you in a walkable, high-energy setting, but they also sit in the middle of heavy tourist traffic year-round. Guest parking can be tight, and a downtown location means planning around more foot and car traffic than a suburban or rural venue would ever have.
Ranch venues out in Hill Country, toward Boerne or Kerrville, offer a bigger, more private setting and a real sense of space, but that comes with real driving distance from the city core. Ranch properties also tend to have less built-in indoor backup than a hotel or downtown hall, so a tent for shade or a rain plan is worth budgeting for from the start.
Riverwalk-adjacent hotels can also be tighter on loading access than they look. If you’re bringing in tables, chairs, or staging, confirm the venue’s delivery window and loading dock situation well before your date. Downtown streets and tourist foot traffic make a last-minute delivery much harder to pull off than at a suburban or ranch venue with its own parking lot.
If your event is tied to Joint Base San Antonio, whether at an officer’s club or another on-base facility, know before you book that installation access is a separate step from reserving the venue itself. The venue itself can’t coordinate installation access for your guest list; that’s arranged by the host directly. It’s worth starting the process as soon as your date is set, especially if some guests aren’t military-affiliated and will need to be cleared through base security.
How Far Ahead to Book in San Antonio
Fiesta covers 11 days in April, but three other stretches of the year pull hard on the same pool of venues and vendors.
San Antonio has an unusually high volume of quinceañeras and family celebrations compared to other Texas metros, and October through November is when that volume peaks alongside the general rush of fall outdoor events. If your quinceañera or family celebration falls within that window, start locking in a venue and vendors well before summer ends. A dance floor is worth reserving early, too. Dancing is central to a quinceañera celebration, and a good rental company’s dance floor inventory is exactly the kind of thing that gets booked up first during the fall rush.
March brings a smaller peak of its own: spring events generally, plus a bump from military promotion season, given the region’s Joint Base San Antonio presence. December fills up with holiday parties, just like almost everywhere else. Outside of Fiesta, fall, March, and December, a normal lead time works fine for most vendors and venues here.
