We’ll also cover how Sam Houston State’s football and graduation weekends move demand, what the Walker County Fair and Fair on the Square mean for a spring or fall date, and how a hot, humid summer shapes your plan. Sort those out, and planning a Huntsville celebration gets much easier.

How much does it cost to rent tables in Huntsville?

Booking Waverly Manor’s ballroom? Rounds are the natural fit for a room like that, and a 60-inch round holds 8 with full place settings or 10 at a buffet, which puts 120 guests at 12 to 15 tables. At 10 the chairs can’t tuck all the way under, so save that number for a night where guests are up and moving. Measure the floor before you settle on a count, since 15 rounds and their chairs need more space than the seat total suggests. Cocktail tables come down to whether there’s a sit-down meal. For the standing stretch before a seated dinner, 1 per 10 guests will do it, so a 120-guest evening needs about 12. Where the whole event is a standing reception, plan 1 cocktail table for every 4 or 5 guests, keeping 30 to 36 inches between them so 2 people can pass in opposite directions.

Here’s the typical range for tables around Huntsville:

Tables

ItemTypical day rate
Specialty & Picnic Tables~$125
Cocktail Tables~$11
Rectangular Tables~$9
Round Tables~$9

How much does it cost to rent chairs in Huntsville?

Order 1 per guest, plus a few spares for the yes that lands late. Hosting the ceremony and the dinner in the same space? The same chairs can cover both, so agree the flip with whoever is setting up and ask how long it takes. Here’s what you’ll be choosing between:

  • Folding chairs. Plastic, light, and stackable, which is what makes a quick flip possible: a couple of people can reset a room while guests are outside with a drink. The seat is bare, which nobody notices during a lawn ceremony and everybody notices 3 hours into a seated dinner.
  • Chiavari and luxury chairs. These show up padded and already finished, so a reception you want dressed needs nothing over the top of them.
  • Barstools. A few barstools give guests somewhere to sit during the standing hour, at the right height for your cocktail tables.

For a long meal or an all-day program, we recommend asking your vendor which of their chairs is padded before you place the order. If you’re looking specifically for folding chairs for a lawn setup, those are easy to source and quick to set up.

What chairs go for around Huntsville:

Chairs

ItemTypical day rate
Barstools~$8
Luxury & Chiavari Chairs~$2
Folding Chairs~$2

How much does it cost to rent linens in Huntsville?

Order 1 per table, plus a napkin per guest for a seated meal. Cloth size is the one to get right, and every table you set out has its own:

  • 60-inch round. A 120 drops all the way to the floor. A 108 stops around lap height, and both look deliberate.
  • 8-foot rectangle. The buffet or the gift display takes a 90 by 156 to reach the floor, so it won’t share a size with your rounds.
  • 30-inch highboy. Highboys are a size of their own again, at 108.

Floor length is the dressier of the 2, and lap length leaves more of the table showing, so pick whichever suits the rest of your setup. If your event has a color, the linens are where guests will see the most of it. Everything goes back to the vendor at the end of the night, laundry included.

What linens typically cost around Huntsville:

Rectangular Linens~$15

Other rentals in Huntsville

Where a venue already has a bar built in, a rental adds a second pour point, so guests at the far end of the room have a shorter walk. Outdoors, set it on level ground and keep the ice and the trash within a step of whoever is working it. Water is worth its own spot on the bar, since guests drink roughly 4 twelve-ounce glasses of it across an event, and nobody should have to wait behind a cocktail order to get some. A champagne toast is easy to plan around too: 1 bottle pours about 8 half glasses, so 120 guests comes to around 15 bottles, all of them poured and passed from the same surface. A portable bar gives that person shelf space out of sight and somewhere to serve from.

What Else You Need to Know About Planning an Event in Huntsville

Sam Houston State’s Calendar Drives Demand in Huntsville

SHSU’s academic and athletic calendar sets the real rhythm here more than the season does, so check it before you assume any given weekend is open.

Football, Tailgating, and Homecoming (Fall)

Home football games bring the biggest recurring demand spike each fall. Check the current season’s published schedule before booking anywhere nearby, and expect tighter parking, more noise, and stronger hotel demand around any home Saturday, the same pattern you’d see in a much bigger college town scaled down to Huntsville’s size.

Homecoming week, in early October, brings its own parade, “Sam Jam,” and tailgates on top of the game itself, so treat that week as its own peak, a bigger draw than a standard gameday. Local caterers and rental companies book up for it specifically, separate from a normal home Saturday.

Graduation Weekends (May and December)

SHSU holds graduation ceremonies in May and December, and those weekends bring a different kind of demand than gameday: smaller family dinners and receptions instead of tailgate-scale gatherings, which means a different kind of venue and catering request than the football season generates.

Worth knowing for sizing purposes: SHSU’s total enrollment runs around 21,000, and federal reporting shows roughly 4,600 of those students study exclusively online. That leaves the large majority with some on-campus component, so local demand tracks closer to the full figure than to a small resident core.

Walker County’s Two Real Annual Festivals

Huntsville has real community-wide events beyond the university calendar, and both belong on your date check, since SHSU isn’t the only game in town.

Walker County Fair & Rodeo (Late March–Early April)

Held every year in late March into early April at the Walker County Fairgrounds, this fair brings a PRCA rodeo, livestock shows, a carnival, and a downtown parade kickoff.

If you’re hoping to book a similar rural or outdoor venue that week, expect competition for it, since the fairgrounds and nearby rural venues both draw from the same limited pool of vendors used to setting up for outdoor, agricultural-style events.

Fair on the Square (October)

Every October, downtown Huntsville hosts Fair on the Square, with roughly 400 booths of arts, crafts, food, and entertainment.

If you want a downtown-adjacent venue that Saturday, plan around it, since downtown parking and foot traffic both get noticeably heavier for the day even outside the festival footprint itself.

Climate and Small-Town Logistics

October through April is Huntsville’s real event season. Summer runs hot and humid, with highs of 92 to 96°F from June through September, and spring carries the same real East Texas severe-weather and tornado risk you’ll find across this region, so build a real contingency plan into any spring date.

Here’s the honest part: Huntsville’s venue bench is small. If you need something beyond what’s listed below, Conroe and The Woodlands are about 45 minutes away, and Houston is 70 to 90 minutes out. That’s not a knock on Huntsville, just the reality of planning here, so decide early whether you want a fully local event or are willing to drive for a bigger selection.

Permits and Regulations in Huntsville

What you need depends on where your event lands. Book one of Huntsville’s city parks and the reservation carries its own permit and its own rules for what can happen on site, so get the current policy from the city before you build a park date around a particular setup. A private venue can tell you what it already holds and what falls to you, and serving alcohol adds a state permit on top of whatever the location itself requires.

Venues in Huntsville

This list is close to the full bench, not a partial sample. New Waverly Manor sits on 53 acres with a 5,000-square-foot ballroom, while At The Shire offers a different look built around tipi-style structures. Field of Flowers is a 27-acre farm venue if you want something rustic, and the Walker County Fairgrounds work for larger, more casual gatherings.

Huntsville State Park adds a public-land option too, with a Group Screened Pavilion and the Raven Lodge Group Recreation Hall available through a Texas Parks & Wildlife day-use rental, a good fit if you want a natural, forested setting without booking a private venue. For small private events, Kate Barr Ross Memorial Park and Emancipation Park both offer city pavilions, though neither is sized for a large gathering.

For a longer list, our guide to event venues in Huntsville covers more spaces across the area.
