How much does it cost to rent tables in Houston?

A 60-inch round table seats 8 with formal place settings, or 10 at a casual buffet, which puts 150 guests between 15 and 19 rounds. The difference is elbow room. A formal setting takes a bread plate, 2 forks, a knife, a spoon and 3 glasses per person, and at 10 seats nobody can slide their chair back. So settle how people are eating first, because that one answer moves your order by 4 tables.

Cocktail tables have their own ratio, and the figure changes with the format. If guests are on their feet all evening, order 1 cocktail table for every 4 or 5 guests. Where there’s a sit-down dinner and the cocktail tables serve the hour before it, 1 per 10 guests will do.

How much does it cost to rent chairs in Houston?

You need 1 chair per guest, plus a few past your final count for the head table and a late yes. The decision worth a minute of your time is which chair:

  • Folding chairs. The plastic ones, sometimes sold under the name Samsonite. They stack, they’re light enough to move around on your own, and they have no cushion at all. For a cookout or a buffet where guests are up between courses, that’s no problem.
  • Banquet chairs. Thick padding and a build meant for people who stay put. These are indoor chairs, and they’re what a 4-hour seated dinner asks for.
  • Chiavari and luxury chairs. The formal option, cushioned, with the finish running gold, silver, white, black and wood. Elegance is what they were drawn for, and a guest who spends 3 hours in one will feel that, so they suit a ceremony or a reception with dancing.
  • Barstools. These belong with your cocktail tables, and they give a standing crowd somewhere to lean.

We recommend a cushioned seat any time guests will be at the table for hours. Where the party is a cookout and people are in and out of their chairs, folding chairs are usually plenty.

How much does it cost to rent linens in Houston?

A 72-inch round takes a 132-inch cloth to reach the floor, or a 108 to sit at lap height. An 8-foot banquet table takes a 90 by 156 for full floor length, and a 60 by 120 for the shorter drop. Those pairings don’t follow from the table size in any way you can work out in your head, so write them down beside your table order and buy cloth by cloth.

Floor length is the formal look, and it hides the legs and whatever ended up stored underneath. Lap length reads more casual, and it’s the easier choice when guests are in and out of their seats all evening.

Order 1 linen per table, plus a napkin per guest for a seated meal. The vendor handles the cleaning and pressing, so laundry never lands on your to-do list.

How much does it cost to rent bar and glassware in Houston?

Drinks work out at roughly 1 per guest for each hour you’re pouring. For 150 people across 4 hours, that’s about 600 drinks. That total is what your glassware order gets built on, and the mix behind it runs roughly like this:

  • Beer glasses. About 40% of the drinks poured, which is 240 of those 600.
  • Wine glasses. About 36%, or 216.
  • All-purpose glasses. The remaining 24%, around 144, covering cocktails and water.

Almost every venue wants a certified bartender doing the pouring, and self-pouring is normally not an option, so put a person in the bar plan at the same time you find out whether the room has a bar. Some rooms have a bar built in and others hand you an empty corner. A portable bar turns that corner into a real serving point, with room for the ice, the bottles, and the garnishes.

Start with the room you have. A space that already looks finished needs very little, while a wide open hall needs shaping. If kids are coming, this is the easiest way to keep them busy for hours. Grass is the surface these are built for. Slopes, uneven ground, and hard surfaces like concrete are all reasons to pick a different spot in the yard.

Most units run off a standard 110-volt outlet, so check there’s one the blower can reach from where the unit will sit. If there isn’t, a generator covers it. Size it by adding up the running watts of everything that’ll be plugged in at once, then adding the single largest surge figure on that list. A small bounce house runs at about 805 watts and surges to 1,955 when the blower kicks on, so pair it with a cotton candy machine at 2,100 and you’re at 3,410, which a 3,500-watt generator handles. Set Your Party Budget Before You Book Anything

The single biggest budgeting mistake in Houston party planning is booking a venue or a date before pricing out rentals and food. By the time the quotes come in, there’s nothing left for either one, and you end up cutting corners on the parts guests notice most.

A rough split that works for most Houston parties: 40% venue and rentals, 30% food and drink, 20% decor and entertainment, and a 10% contingency buffer for the thing you didn’t plan for. Adjust the ratio for your specific event; a wedding leans more toward rentals and decor, while a backyard cookout leans more toward food. Keep the contingency percentage no matter what you’re hosting.

Before you call a single vendor, enter those numbers into a spreadsheet so you can track the total in real time as quotes come in. A basic shared spreadsheet works fine; you don’t need dedicated software.

Book Outside Houston’s Summer Heat Window (May–September)

Houston’s heat index regularly hits 105 to 115°F between May and September. An outdoor event after 10am in that window puts guests at real risk of heat illness, not a minor comfort issue. October through April is Houston’s comfortable outdoor season instead, with fall running 75 to 88°F and spring closer to 70 to 85°F.

A 60-inch round table seats 8 to 10 guests comfortably, closer to 8 if you’re using full place settings. An 8-foot rectangular banquet table seats about 8 to 10 as well. The most common overspend here is overestimating the number of tables and chairs and paying for capacity nobody uses. The other common mistake is skipping the rental altogether, buying a stack of cheap folding chairs for a one-time party, and storing them in a garage for years afterward. There’s a real budget reason to stay small when you can: Houston Fire Department requires a permit for any tent or canopy over 1,200 square feet, under LSB Standard No. 22.

Staying under that threshold keeps you out of the permitting process entirely, which saves both money and time you’d otherwise spend on paperwork. If your event needs more coverage than that, budget for the permit process upfront instead of discovering it after you’ve already booked the tent.

Cut Food and Drink Costs Without Making the Party Feel Cheap

Food is usually the second-biggest line item after rentals, and the cheapest option isn’t always the one that looks cheap. A structured potluck, where you assign specific categories (mains, sides, desserts, drinks) instead of leaving it open-ended, gets you a full spread without three people showing up with chips and nothing else.

Buying proteins and staples in bulk from a wholesale club instead of a regular grocery run noticeably cuts your per-person cost for anything that feeds more than 15 to 20 people. And if your date lands between March and May, crawfish is a local and incredibly yummy option!

Decor is where budgets either quietly balloon or get cut so hard the party feels bare. Neither has to happen if you’re deliberate about what to source yourself and what to rent!

DIY & Affordable Options That Still Look Great

Balloons, streamers, banners, and paper goods are usually cheaper to source yourself than to rent, and there’s no reason to overthink them. A party supply store or even a dollar store covers most of this category for a fraction of what a full decor package costs, and nobody’s judging your centerpieces on production value.

Linens are the one exception that we seriously recommend renting. A simple tablecloth instantly makes a plain rental table feel finished, and it’s one of the easiest upgrades for the money. Renting linens instead of buying them also means someone else handles the washing and pressing, so they show up ready to use instead of adding laundry to your day-after task list.

Vendeze’ servers are backed up regularly and protected by security systems.

Cookies

“Cookies” are small pieces of information that are stored by your browser on your computer’s hard drive. The Vendeze site uses cookies to keep track of your session, shopping cart, and advertising delivery. Vendeze may also use cookies to deliver content specific to your interests and to save your password. Vendeze may use an outside ad company to display ads on the Vendeze site. Vendeze may create links to other web sites. Vendeze will make a reasonable effort to link only to sites that meet similar standards for maintaining each individual’s right to privacy. However, many other sites that are not associated or authorized by Vendeze may have links leading to our site. Vendeze cannot control these links and Vendeze is not responsible for any content appearing on these sites.

Amendments

Vendeze may amend this policy at any time. If Vendeze is going to use personally identifiable information collected through the Vendeze site in a manner materially different from that stated at the time of collection, Vendeze will notify users via email and/or by posting a notice on the Vendeze site for thirty (30) days prior to such use.
