How much does it cost to rent tables in New York?

A 60-inch round seats 8 with formal place settings, or 10 at a casual buffet. What impacts how many tables you’ll need often comes down to how much room each place setting takes.

A formal place setting needs space for 3 glasses per person and dessert flatware laid above the plate. Once all of that is on the table, the 8th chair is the last one that fits. Use 8 when guests stay at the table through the meal, and 10 when they’re back and forth to a buffet.

Square tables are an option here too. A square seats 8 at both 48 and 60 inches across, and 12 once you go up to 72, which gives you a wide table without a long one.

If you’re hosting a standing reception where nobody people won’t be sitting down to eat, order 1 cocktail table for every 4 or 5 guests. And if you’re hosting a seated dinner with a standing reception afterward, you won’t need as many cocktail tables. In this case, 1 per 10 guests is fine.

If you do decide to grab cocktail tables, make sure to set them 30 to 36 inches apart, which is enough for someone to step around a group without turning sideways.

How much does it cost to rent chairs in New York?

Chairs are super simple to plan for. One per guest is the baseline, plus a couple of spares for a head table.

You usually have a few chair types to choose from:

  • Poly folding chairs Light, stackable and unpadded. These are great for casual events or short ceremonies.
  • Chiavari chairs These are a lot more formal than folding chairs, and they usually come in gold, silver, white, black or wood. These are padded, so they’re more comfortable for formal, seated dinners.
  • Barstools. A few of these give guests somewhere to sit during the standing hour, at the right height for your cocktail tables.
  • Benches and other seating. The pick when you are setting long tables and want the room informal.

If you’re hosting a long dinner, go with something with padded, like a padded resin chair or a chiavari chair. Otherwise, more casual settings or places where people won’t be sitting for a long time can get away with unpadded folding chairs.

If you’re unsure what size you need, here’s a rundown of how each size of linen fits on tables:

  • Round. A 60-inch round wants a 120 for full floor coverage, and a 108 for the shorter lap-length drop.
  • Rectangular. A 6-foot banquet table takes a 90 by 132 to the floor, and a 60 by 120 at lap height.
  • Square. A 48-inch square takes a 72. A 60-inch square takes a 90 at lap height, or a 108 all the way down.

Floor length is the dressier of the 2 looks and it hides the legs. Lap length leaves them showing and suits a daytime party. Your cocktail tables are a separate count again, and they need cloths of their own.

Start with the space and what it already holds. Some rooms have a bar built in, and others hand you an empty corner with an outlet.

If you want to serve drinks, but your venue doesn’t have a bar handy, consider a portable bar. They hold ice and the bottles, and it gives whoever is pouring a counter to work behind.

For glassware, figure 1 drink per guest per hour of service, so 120 guests across 3 hours comes to about 360 drinks.

Your venue can change that math. A venue that washes glassware during the event puts the same glasses back into circulation, meaning you might be able to order a little bit less.

Plan on roughly 1 grouping per 100 guests.

Corporate events, gallery openings and product launches make up a large share of New York’s calendar, and most of those run without a seated dinner. That’s where lounge seating earns its place: it gives a standing crowd somewhere to sit for 5 minutes with a drink, and it breaks a wide floor into spaces that feel like rooms.

How much does it cost to rent decor in New York?

Start with the room you booked. Some need shaping and some arrive finished, and that is what sets how much of this you order.

Pipe and drape is how you shape an open floor. Hang a run behind the head table to give it a backdrop, and use another to close off whatever square footage your party isn’t using. There’s no published panel count for drape, so measure the stretch you want covered and give that measurement to your vendor.

How much does it cost to rent inflatables in New York?

Kids are who these are for, so the first 2 questions are how many children are coming and where a unit could go. If you’re planning to get an inflatable, make sure there is a large and flat grassy area to put it on. A slope, uneven ground, or a hard surface like concrete are not compatible with inflatables.

Most of them plug into a standard 110-volt outlet, so pick a spot with an outlet the blower can reach. An obstacle course draws more than that: about 1,610 running watts, with a 2,000-watt surge when the blower kicks on, so tell your generator supplier which unit you booked.

Summer here runs to a heat index of 85 to 95°F, and Manhattan holds that warmth well after dark. On a day like that, a water slide is a fantastic option to keep kids entertained and cool. Just make sure to have a shaded area and water nearby!

NYC’s Two Biggest Event Weekends

Two annual events dominate New York’s calendar more than any others, each with real, verified scale that reshapes availability across entire boroughs.

West Indian American Day Carnival (Labor Day Weekend)

Every Labor Day weekend, Crown Heights, Brooklyn hosts the West Indian American Day Carnival. The parade runs down Eastern Parkway from Utica Avenue to Grand Army Plaza, and estimates put attendance at roughly 1 million to as many as 3 million people, making it one of the largest annual events in North America.

That scale means Crown Heights and much of the surrounding area effectively shut down to normal traffic that weekend. Street closures extend well beyond the parade route itself, parking disappears fast, and hotels across Brooklyn fill up. If you’re planning any kind of event in Brooklyn around Labor Day weekend, whether or not it has anything to do with Carnival, check your date against this first.

NYC Pride (June)

NYC Pride happens every June and ranks among the largest Pride events in the world. The march and surrounding events draw enormous crowds into Manhattan.

For anyone hosting a Manhattan-area event in June, that means heavier demand for venues and hotels across the borough, well beyond the parade route. Weekend dates in particular fill up early.

If your event is anywhere near the parade route or the West Village, build in extra time for your guests’ travel, and expect street closures to shift access on short notice.

Fashion Week: A Twice-Yearly Pattern

New York has Fashion Week twice: once in September and again in February. Both weeks drive significant industry event activity.

Hotels, venues, and catering teams that work heavily with the fashion industry get pulled into Fashion Week bookings during both weeks, which can tighten availability and push prices up citywide, particularly in Manhattan.

If your event falls in early-to-mid September or February, ask any Manhattan vendor directly whether Fashion Week affects their availability before you assume normal week pricing and an open calendar.

Weather and Timing in New York

New York runs on a standard four-season climate, but the good outdoor window is compressed and worth planning around carefully.

Late May through September is the primary outdoor season. Spring itself is inconsistent: April can still bring cold, rainy days, and late May is really when the weather becomes reliable. Summer runs hot and humid, with a heat index of 85 to 95°F, made worse in Manhattan specifically by the urban heat island effect, where all that concrete and glass holds heat well past sunset.

Fall starts strong, with September among the best months on the calendar, before October turns increasingly cold. Winter, November through March, is firmly cold, typically 30 to 40°F with real snow, and outdoor events don’t make sense during this window.

Freight Elevator and Delivery Logistics in NYC Buildings

Many buildings in NY require a freight elevator reservation for any delivery, and that reservation must be booked in advance through the building itself, on top of whatever you arrange with your rental vendor.

Truck delivery in this city carries its own complications on top of that:

  • Finding legal parking for a delivery truck
  • Coordinating a loading dock or curbside unload
  • Getting through building security

Fail to plan for any one of these steps and a delivery that should take an hour can stall for most of a morning.

The fix is simple, but it has to happen early: confirm freight elevator availability and any building-specific delivery rules with your building management as soon as you book your venue, then pass those exact details to your rental vendor well before delivery day.

Some buildings also require a certificate of insurance before they’ll release a freight elevator reservation, separate from any insurance your venue itself requires. Ask your building contact directly whether this applies, and get it sorted well before delivery week. They’ll guide you through what you need to do.

Permits and Regulations in New York

Which permits your New York event needs comes down to where it takes place, so begin with the address. An event on city parkland and an event at street level both bring city requirements with them, and amplified music can call for an approval of its own on top of the space. Ask what applies to your specific site early, because the answer shapes your timeline. If you’ve booked a private venue, that venue can tell you what it already carries and what’s left to you, and that’s usually a short conversation.
