How much does it cost to rent tables in Philadelphia?

Some rooms come with tables already, so ask your venue which ones before you order against your guest list. After that, pick between 3 shapes:

  • Round tables. A 60-inch round seats 8 with formal place settings, or 10 at a casual buffet, so 180 guests is 18 to 23 rounds. Let your meal service decide which figure you use. At a buffet people come and go and 10 fits. Set every place with a salad plate stacked on the dinner plate, dessert flatware above it, and glasses for water, wine and champagne, and 8 is the honest number.
  • Rectangular tables. Seating runs 6 to 8 on the 6-foot length and 8 to 10 on the 8-foot. Put them in a row and you get one long rectangular table running down the room. We recommend that layout if you’re hosting at one of the Bucks County or Chester County wineries, or at a Brandywine Valley estate a half hour outside the city.
  • Cocktail tables. If nobody sits down to eat, order 1 cocktail table for every 4 or 5 guests, which is the count for a standing rooftop reception in Center City or Fishtown. If dinner is served and the highboys are only carrying the first hour, drop to 1 per 10 guests. Leave 30 to 36 inches around each one so guests can move between them.

How much does it cost to rent chairs in Philadelphia?

Order 1 chair per guest, plus a couple more for the head table. You’ll usually be picking from 3 styles:

  • Folding chairs. Folding chairs usually fall into two groups: plain plastic or resin folding (AKA garden chairs). Plastic chairs do not usually come with padding, so they’re best for short ceremonies or casual events. Resin folding chairs usually come with padding or can have seating pads added onto the order, so they’re a nice upgrade if your guests will be sitting longer.
  • Chiavari and luxury chairs. These are a more formal choice than folding chairs, and they typically come in gold, silver, white, black or wood. Because they look more finished, you can leave covers and sashes off the order. Chiavari chairs are padded, which is much more comfortable if your guests will be sitting all evening.
  • Barstools. Barstools stand at cocktail-table height, so your guests can sit down without leaving the conversation. A few is enough for a standing reception.

The kind of chair you should choose depends on how long your guests will be sitting. If they’ll be sitting for more than 30 minutes or so, we recommend choosing something with padding, like a resin folding chair or a garden chair. If the event is more casual and guests are expected to be up and down, then a folding chair without padding is probably fine. And keep in mind for more formal events, it can be well worth it to rent chiavari chairs to quickly upgrade the look of the room.

How much does it cost to rent linens in Philadelphia?

Order 1 per table, plus a napkin per guest for a seated meal. Every cloth is cut for one table size at one drop length, so match the cloth to the table before you order:

  • Round. On a 60-inch round, a 120 reaches the floor and a 108 or a 90 stops at lap height. Give your cocktail tables cloths of their own, sized by height: a 30-inch highboy takes a 108, and its short counterpart takes a 90.
  • Square. A 72 fits the 48-inch square. On a 60-inch square, lap height is a 90 and full coverage is a 108. On a 72-inch square, those become a 120 and a 132.
  • Napkins. 1 per guest at a seated meal. Take this count off your guest list, since every other linen count comes off your table order.

They also arrive pressed, and the washing goes back on the truck with them, so no part of this reaches your kitchen.

Then pick your drop length by how formal you want the room to look. Full length covers the table legs completely, and we recommend it for wedding receptions, galas and any seated dinner that runs into the evening. Each grouping is built around a sofa or a settee, with chairs and ottomans set around it and a low table within reach of the seats. Square ottomans add seats without closing the group off, so guests can join from whichever side they walk up on. A few groupings also break up a wide open floor, so a big room starts to feel like it has rooms in it.

Ask your venue what it has built in before you order a bar. If the room gives you a corner and an outlet, a portable bar turns that corner into a station. You get a surface to pour on, storage underneath for ice and bottles, and a spot guests can find without asking anyone.

For stocking it, figure 1 drink per guest per hour and work from there.

Philadelphia’s BYOB habit carries over into some event formats, and bringing the alcohol yourself changes nothing about the furniture. You still need somewhere to pour and someone to pour it, so the bar stays on the order either way. Venues generally require a certified bartender and do not allow guests to pour for themselves, and whoever does the pouring might be supplied by the venue, by your caterer, or by a bar service you hire for the night. What Else You Need to Know About Planning an Event in Philadelphia

The Mummers Parade: A 120-Year Tradition

Every January 1, more than 10,000 costumed participants march down Broad Street from City Hall to Washington Avenue, and hundreds of thousands of spectators line the route to watch them do it. The Mummers Parade has run every year since 1901, and it’s been cancelled only three times in that entire span.

Build guest arrival and departure times around the parade route and schedule. If you’re hosting a New Year’s Day brunch or gathering anywhere downtown, give your guests a heads-up about the closures ahead of time.

Weather and Timing in Philadelphia

Philadelphia runs on four real seasons, and outdoor events work best from May through September, with fall carrying the edge.

Summer (June–August) brings heat index readings of 87 to 95°F with heavy humidity, workable for an evening event but rough for anything outdoors at midday. If your date lands in summer, push the schedule later in the day and lean on shade and cold drinks. Spring (April–May) is more of a gamble: May is pleasant and reliable, but April can turn cold and rainy with little warning, so a spring date needs a real backup plan more than a summer one does.

Fall is the sweet spot, and September specifically comes close to ideal: warm days, cool nights, and lower humidity than in summer. October is still workable early on but gets noticeably colder as the month goes on, so an outdoor event scheduled for late October should have a heated indoor fallback ready. Winter (November–March) brings real cold and significant snow, and outdoor events during this stretch just don’t work; plan indoors instead.

One more thing worth building into any late-summer date: late August and September occasionally bring nor’easters or remnants of tropical storms moving up the coast, a real but smaller-scale risk compared to the Gulf Coast hurricane season. If your date falls in this window, keep a backup indoor plan or a flexible reschedule policy in your back pocket.

How Far Ahead to Book in Philadelphia

Outside Philadelphia’s peak windows, a normal lead time works fine for most vendors and venues; two to three months ahead is usually plenty. Inside them, you need to move earlier than you’d think.

May is one of the tightest months of the year here, because Temple, Penn, Drexel, La Salle, and several other major universities all hold commencement within a few weeks of each other. Every hotel room, restaurant private room, and event space near a campus fills up fast, so if your date falls in May, start booking as early in the year as you can, ideally six months to a year out if your venue is anywhere near a campus.

June through September is the primary outdoor season, and September through October adds a second wave of demand as fall weddings and outdoor events compete for the same venues and vendors. Booking a September date means competing with both the tail end of summer demand and the front end of wedding season, so don’t wait until spring to lock in a fall venue.

December fills up fast with holiday parties, corporate and personal both, so treat it the same way: book months out, not weeks. Companies that host an annual holiday party in Center City often lock in their venue over the summer, well before anyone’s thinking about December, and that early-bird pattern is exactly why last-minute December bookings run so thin.

And if your date lands anywhere near a potential Eagles playoff run, build in extra flexibility. Nobody can predict the exact weekend, but when it happens, watch-party demand spikes on short notice and can put last-minute pressure on a venue or vendor you were counting on.

Permits and Regulations in Philadelphia

Start from your address and what you have planned there, because those two things decide which permits your Philadelphia event needs. If you’ve booked a private venue, ask them which approvals they already carry and which ones fall to you. City park land, a public street, and anything you plan to put up on the site can each bring requirements of their own. Whoever manages that ground can tell you which ones apply and how long an approval takes to come back. Ask them early, since the timeline belongs to them. And if you’re serving alcohol, ask your venue or your caterer who holds the license for the event.
